The Client Services Coordinator is a self-starter who seeks out guidance when needed while taking on the responsibility for maintaining direct communication between the firm and its clients. Guaranteeing client’s inquiries are answered, client documents received are processed accurately, timely, and ensure the smooth flow of projects from start to finish to achieve our client, team, and firm goals. Ensure the office environment has the appropriate supplies and assists team members. Essential functions: Must be at work and on time daily. Greets clients, visitors, and guests; determines the purpose of each person’s visit and directs or escorts him or her to the appropriate location. Answers and directs phone calls to team members. Contact clients day before an appointment to verify appointment times and location with team members in advance. Receives and drops off mail, documents, packages, and courier deliveries and distributes items. Follows processes and steps to ensure all client projects are processed accurately and timely. This may include starting, scanning, assembly, billing, or e-file of client project. Notify clients of any monies owed, assist clients in making payments and setting up auto deduct accounts. Ensure we obtain clients signatures for engagement letters, power of attorney, bank verification forms, and any other required documents and save in the appropriate file. Ensures the office is stocked with office supplies, snacks, drinks and other office supplies as needed. Maintains the cleanliness of kitchen, conference rooms, bathrooms, and all shared spaces for the facility. Orders and distributes lunch to team members when needed. Supports all Firm team members with special projects as needed. Performs other duties as needed. Work overtime as needed.
