About The Position

Reporting to the Vice President of Operations (SEP), the Assistant Vice President - Operations partners with the Physician Assistant Vice President in primary leadership and management of an Operational Division. An Operational Division consists of multiple practice locations and includes providers and non-provider associates. Along with the Physician Assistant Vice President, this position has primary authority and responsibility for all activities within the Division. The Assistant Vice President – Operations serves as the first point of contact and primary problem solver and is accountable for all Division outcomes and activities.

Requirements

  • Proficient in Microsoft Office suite of products (Outlook, Word, Excel, PowerPoint). Ability to learn and adapt to the use of new technologies, applications, and workflows.
  • Must attain understanding of SEP practice management and electronic health record applications. Previous use of EPIC Cadence/Prelude/Ambulatory preferred.
  • Demonstrated success managing physician practice operations, including provider relations, patient flow, revenue cycle, quality, service excellence, purchasing and inventory, and team building and accountability.
  • Demonstrated ability to work successfully in a team-based decision-making culture.
  • Demonstrated ability to work independently resulting in effective outcomes and on time performance.
  • Must respond and follow through to requests from customers promptly.
  • Must work carefully and precisely with attention to detail.
  • Must utilize resources wisely.
  • Performs duties willingly and with initiative. Shares necessary information so co-workers can do the same.
  • Cooperates with other departments and work groups.
  • Must have a valid driver’s license for travel between office sites.
  • Master's Degree
  • 5+ years in a health care operational management role, demonstrating progressive responsibility growth throughout.

Responsibilities

  • Manage, implement, and ensure compliance with policies and procedures.
  • Oversee operations for new and existing practices. Ensure effective start-up of new or the transition of newly acquired practices into SEP. Facilitate successful orientation and training for new providers and associates. Coordinate all efforts to establish and open new, transitioned, or merged SEP practices or to close a practice.
  • Coordinate & disseminate company information, objectives, directives, policies and procedures, and other appropriate information to office sites.
  • Develop and implement effective strategies to ensure adequate provider coverage, specialty types, and geographic deployment of providers and associates as well as facility locations. Collaborate effectively on these strategies with organizational leaders in both SEP and SEH.
  • Supervise and evaluate Operations Managers, Operations Directors, and other associates as assigned. Provide the necessary resources to hire and develop the skills of direct reports. Conduct annual performance evaluations of direct reports and intentional performance discussions 2-4 times per year.
  • Develop annual operating and capital budgets. Meet or exceed budgeted net operating income in areas of responsibility. Monitor and evaluate overall financial performance of Division. Alter operations to address variances.
  • Effectively monitor and manage physician and provider compensation performance, including setting and adjusting draws, providing performance feedback on productivity and value-based objectives, and proactively address transitions in compensation, including but not limited to base compensation changes, production compensation model changes, and/or planning for any contractual guarantee period ending.
  • Effectively monitor and manage provider and associate use of the tools and resources provided to them, including the electronic health record. Ensure appropriate resources are made available to aid in the most effective and efficient use of the EHR.
  • Conduct regular meetings with direct reports to communicate objectives, financial and operational performance, and other defined performance measures.
  • Facilitate training and coaching of direct reports and providers in service excellence, quality, utilization, and other initiatives. Review performance results and create action plans for improvement. Meet or exceed annual objectives for defined service, quality, and utilization metrics.
  • Conduct routine leadership rounding with all specialties or locations within division. Follow up on issues addressed when rounding in a timely fashion.
  • Ensure effective execution of the revenue cycle process with particular focus on minimizing denials and non-reimbursable charges due to controllable front-end activities. Meet or exceed objectives for denials and collections metrics.
  • Serve as a resource in evaluating and resolving physician and provider issues in conjunction with Physician Assistant Vice President, Human Resources, legal counsel, and executive management as appropriate.
  • Collaborate with colleagues in addressing human resources, risk management, revenue cycle, financial and operational issues.
  • Other duties and responsibilities as assigned completed in a timely and accurate fashion.
