About The Position

Reporting to the Senior Vice President for University Advancement, the Assistant Vice President for Advancement Services provides strategic leadership for the University’s advancement infrastructure, managing resources that support all university fundraising programs and functions. The Assistant Vice President for Advancement Services is responsible for long and short-term planning in the areas of prospect development, gift processing, stewardship, budget and operations, database integrity, reporting, data analysis and system enhancements. The Assistant Vice President for Advancement Services is charged with aligning business support functions, policies and procedures, and technology infrastructure with the strategies, resources and priorities of the University and University Advancement – developing partnerships with colleagues in University Advancement, school/unit-based advancement staff, as well as across campus within the departments of finance, information technology services, and general counsel.

Requirements

  • Bachelor’s degree or equivalent technical training and work experience.
  • Five or more years of supervisory experience.
  • Five or more years of experience with relational databases including query and report writing.
  • Excellent computer skills, particularly the Microsoft Office suite of products.
  • Strong organizational skills and attention to detail.
  • Ability to maintain confidentiality and to exhibit good judgment in making independent decisions concurrent with SU mission and values. Demonstrated success managing complex operations and leading diverse teams.
  • Ability to work independently as well as establish and maintain professional relations with other staff, faculty, students, alumni, and donors.
  • Ability to communicate both verbally and in writing with technical and non-technical personnel.

Nice To Haves

  • Seven or more years of progressive leadership experience working in an Advancement Services or similar office.
  • Experience using Raiser’s Edge or similar fundraising software.
  • Strong knowledge of fundraising principles, data management, and financial compliance.
  • Excellent leadership, strategic thinking, and problem-solving abilities.
  • Proficiency with advancement CRM systems and data analytics tools.

Responsibilities

  • Leads strategic planning, evaluation, and implementation of improvements to systems within Advancement Services including information strategy, prospect development, donor stewardship, and gift accounting, optimizing performance for fundraising and engagement success.
  • Supervises the Director of Prospect Development. Director Data and Systems and Director of Advancement Services, Gift Processing, and Director of Donor Relations and Stewardship.
  • Leads overall vision, strategy and management of gift accounting operations for the University to ensure accurate and timely recording and distribution of gifts and pledges according to IRS regulations, CASE reporting standards, and the University’s gift acceptance policy.
  • Integrates and oversees a comprehensive prospect development team including prospect identification and research, and prospect and portfolio management.
  • Provides strategic leadership in the division’s work to create and manage an effective infrastructure to support the university’s fundraising efforts. Administers the University’s alumni and donor database system ensuring optimal use, maintenance and functionality.
  • Establishes and implements all alumni and donor data and gift processing procedures.
  • Manages user access to alumni and donor information, safeguarding the confidentiality of sensitive data.
  • Plans and implements administrative data integration between campus systems.
  • Builds software infrastructure through the development of tables, screens and processes to facilitate functionality and flexibility of the database.
  • Consults with vendors to explore new technologies and troubleshoot software issues.
  • Researches and implements best practices for University Advancement data systems.
  • Conducts alumni and donor database software and business rule trainings.
  • Advises University Advancement staff on data-driven strategies and planning.
  • Participates in cross-campus committees and workgroups. Serves as the institution’s Data Steward for alumni and donor data.
  • Proposes and coordinates University Advancement software projects with ITS.
  • With the Director of Prospect Development, establishes and coordinates the oversight of all fundraisers operating plans and metrics.
  • Oversees the preparation of surveys or requests for donor data (VSE and US News and World Reports, etc.).
  • Produces all reports and benchmarks for campaign progress and development team performance.
  • Creates ad-hoc alumni and donor reports for University Leadership.
