About The Position

Primary Objective: Provides support to the Lower School Principal and other administrative staff and faculty in the daily operations of the Lower School at Whitefield Academy. Key Responsibilities: Serves as receptionist in the Lower School office by greeting and assisting visitors, students, parents, and faculty, answering and handling phone calls. Processes student admittance and dismissals; records attendance and arranges early releases. Takes responsibility for updating Lower School events with the all-school calendar manager. Reserves the Auxiliary Gym for the entire school. Notifies maintenance crew of set-up arrangements for special programs and events. Notifies maintenance crew of Lower School repair issues or additional janitorial needs. Schedules parent/teacher conferences. Processes and coordinates personnel duties to include faculty or staff absences and substitutes. Screens the Lower School Principal’s visitors and phone calls. Schedules appointments for the Lower School Principal. Proofreads Lower School correspondence. Orders supplies for faculty and staff throughout the school year. Collects information and places order for student supplies, curriculum orders, and textbook purchases during summer months for classroom distribution. Organizes and maintains required files, including confidential materials. Manages the software student database. Schedules all transportation needs of the Lower School including making travel arrangements and booking conferences for teachers and the Lower School Principal. Schedules Lower School transportation and travel needs for off-campus events such as field trips and overnight trips. Schedules parent conference times, as needed, for teachers, associate teachers, and the Lower School Principal. Keeps the copier, the laminator, and the computers in working order by notifying repair services. Receives all orders from teachers and associate teachers for classroom copying and laminating requests and executes projects in a timely fashion. Attend staff meetings and serve on committees as required. Demonstrate stewardship of Whitefield resources and spaces. Collaborate with colleagues and staff to support the school community, supporting admissions activities and events. Adhere to the bylaws, policies and procedures, and to all laws that govern the school and its actions. Other duties as assigned by administration.
