About The Position

Primary Objective: Provide support to the Upper School Principal and other administrative staff and faculty in the daily operations of the Upper School at Whitefield Academy.

Requirements

Responsibilities

  • Serves as receptionist in the Upper School office by greeting and assisting visitors, students, parents, and faculty; answering and handling phone calls.
  • Processes student admittance and dismissals; records attendance and arranges early releases.
  • Takes responsibility for updating Upper School events with the all-school calendar manager.
  • Maintains the calendar for functions in the Louise Owens Theater and the Upper School conference room.
  • Notifies maintenance crew of set-up arrangements for special programs and events.
  • Screens the Upper School Principal’s visitors and phone calls.
  • Schedules appointments for the Upper School Principal.
  • Keeps the copiers in working order by notifying repair services.
  • Attends staff meetings and serves on committees as required
  • Demonstrates stewardship of Whitefield resources and spaces
  • Adheres to the bylaws, policies and procedures, and to all laws that govern the school and its actions
  • Supports commencement through the ordering of regalia, diplomas, graduation cords, and the senior Bibles
  • Partners with the school nurse and school counselor to ensure students receive necessary services
  • Drafts the weekly Monday Memo to Upper School staff and sends to the principal for review and publication
  • Supports the principal in developing schedules that meet the needs of alternative school days
  • Contributes to planning Upper School events, including but not limited to open houses, 9th grade orientation, admissions events, staff Christmas party, etc.
  • Orders all supplies for the Upper School staff
  • Collaborates with principal to determine the summer task list for a successful launch of the school year; oversees the completion of the tasks
  • Coordinates schedules and communication for all students taking exams at alternative time
  • Collaborates with Sub Coordinator to ensure all classes have coverage
  • Other responsibilities as assigned by administration
