About The Position

Monmouth University is seeking applications for the Assistant to the Dean of the School of Education (SOE). The Assistant to the Dean is the primary point of contact for outward- and inward-facing School of Education operations. The School is a vibrant community of faculty, staff, and students. We offer undergraduate degrees in education, master’s degrees in education, educational counseling, and speech-language pathology, and doctoral degrees in educational leadership. This is an in-person, on-campus, non-remote position. Requirements

  • Four years of related experience.
  • Must be able to handle multiple tasks simultaneously and effectively.
  • Must be able to work with minimal direction and functions as a team player.
  • Working knowledge of program and event planning.
  • Excellent interpersonal, organizational and communication skills.
  • Must be able to treat confidential and sensitive information appropriately.
  • Must be able to operate a variety of office equipment.
  • Intermediate Level knowledge of Microsoft Word and Excel 2016.

Responsibilities

  • This role requires reliable and consistent excellent customer service for SOE students, faculty and staff; along with other University personnel and external constituents, in person and by phone.
  • Manage the Dean’s calendar by scheduling in-person, telephone, and virtual meetings; ensure each appointment includes relevant details such as agendas, meeting materials, travel directions, and virtual meeting links.
  • Assist with maintaining and monitoring the Dean’s office and departmental budgets, including specialized program and gift accounts; prepare budget revisions and reports as needed.
  • Prepare, process, and track financial transactions and records, including expense vouchers, purchase orders, contracts, and requisitions, and grants.
  • Make travel arrangements for the Dean and others (if applicable), reconcile monthly travel card expenses and processing other documentation related to the Dean’s travel expenses.
  • Provide assistance to the Dean with preparation for meetings, such as the SOE Full Faculty/Staff, UTEAC, UG and GR Advisory Councils and the Dean’s Advisory Council.
  • Monitor action items for Dean.
  • Prepare meeting materials, record meeting minutes and file them as needed .
  • Assist the Dean with various reports, research and special projects, including accreditation.
  • Assist the Dean with tenure and promotion processes as outlined per FAMCO contract guidelines.
  • Assist in scheduling faculty observations and external evaluation. meetings with candidates who are up for review following contract timelines.
  • Send scholarship evaluation requests, reminders, and process honorariums.
  • Prepare correspondence, announcements, and invitations from the Dean’s office when requested by letter/memo or by email.
  • Work as a team with School staff, administrators, and faculty to support School initiatives and events.
  • Perform routine office tasks and direct student workers to assist with the workload.
  • Process stipend requests electronically, as needed, using discretion.
  • Assist with advertising and marketing (e.g., social media, flyers, digital displays, posters).
  • Support accreditation processes including maintaining and collecting documents and scheduling meetings.
  • Other duties as assigned.
