About The Position

Act as the primary administrative support for a school Chair providing office related services including correspondence and report preparation, maintaining files, meeting arrangements and related functions. May be responsible for setting employee goals, assessing employee performance and providing feedback, and making pay recommendations. This position will interact on a consistent basis with: Chair and Associate Chairs, Dean, School faculty members and staff, students and visitors. This position typically will advise and counsel.

Requirements

  • Technical Diploma, Associate's Degree or equivalent combination of education and experience.
  • Overnight travel required for project delivery; flexibility in on-site daily service delivery hours (due to client shift schedules, project requirements).

Responsibilities

  • Manage calendar, coordinate meetings, make travel arrangements and plan events.
  • Prepare correspondence and reports; may assist in collecting statistical data, conduct analyses, report preparation and presentations.
  • Maintain office filing system.
  • Provide administrative support to Associate Chair(s), as directed.
  • Assist in coordination of administrative tasks of faculty searches.
  • Make travel arrangements and process travel-related reimbursements.
  • Assist with logistics of conference planning, seminars, special school events and development activities.
  • Process HR paperwork for research faculty new hires and department affiliates; immigration paperwork.
  • May coordinate recurring administrative processes in support of the chair which may include administrative aspects of re-appointments, promotions and tenure, etc.
  • Perform other related duties as assigned.
  • Act as the primary administrative support to the Chair, including managing correspondence, preparing reports, maintaining files, and coordinating meetings.
  • Oversee PCard transactions: order supplies, process registrations, and fulfill approved requests for faculty, staff, and students. Ensure all required documentation is submitted and purchases are accurately tracked.
  • Plan and coordinate departmental events, including travel arrangements, venue reservations, catering, and equipment needs for both on- and off-campus functions.
  • Support faculty recruitment by initiating the interview process and serving as the primary point of contact for candidates.
  • Manage the faculty annual review process to ensure compliance with institute requirements.
  • Interpret and communicate administrative policies; develop and refine internal procedures in alignment with institute guidelines.
  • Utilize the PROMOTE system to manage academic promotion, tenure, research faculty promotion, and critical review processes on behalf of the Chair.
  • Coordinate unit purchasing activities, including preparing documentation, ordering supplies, and managing vendor relationships.
  • Review and approve correspondence, OneUSG, and Workday transactions on behalf of the Chair.
  • Certify monthly time reporting for faculty and staff.
  • Provide administrative support to the Associate Chairs as needed.
  • Maintain departmental listservs, phone directories, and file systems.
  • Assist with onboarding and offboarding of faculty and staff.
  • Respond to emails and manage the Chair's inbox and calendar.
  • Provide general administrative assistance as needed.
