About The Position

The Assistant Studio Manager will work with the Studio Manager to maintain and oversee our off-campus Studio space in the South Hill Business Campus. They will help to manage reservations and shift assignments for the rest of the Studio Staff, as well as assist with the client check-in & check-out process, location tours, and general studio maintenance. Hours are based around when the studio gets reserved, so there is no set schedule or guaranteed number of hours. Only students with majors or minors in the Park School of Communications will be considered for this positions. Preference will be given to students who have already been actively involved with The Studio, and/or who have participated in Park Productions workshops, events, and other activities as trainees. About The Studio: The Studio is located in the South Hill Business Campus at 950 Danby Rd, right across the road from IC's campus. It holds a total of 3 studio spaces, as well as a workshop space. The Studio is free to use for IC students creating film projects, and can also be rented out by external clients for a fee when not in use by students. Job Overview: The Assistant Studio Manager will have all of the responsibilities of a Studio Staff member in terms of checking clients in and out and maintaining the space, plus additional responsibilities related to handling reservations and managing the staff. The main objective of the Studio Staff is to help our clients have a safe, clean, and fun experience inside our studio space. There are no set hours of operation, as the schedule depends on when reservations are made. Shoots frequently occur on weekends, or late nights on weekdays. Staff members are not required to be present during the actual shoots, only for check-in & check-out, so it is typically not more than an hour at a time. We also offer tours of the space prior to shooting for all clients to answer any questions they may have about the space and how it can be used for their projects. For reservations, staff are expected to arrive before the clients to walk through the space and take note of its current condition, review the detailed client forms for all information on their visit (ex: total time of stay, list of props, crew, etc). Ensure that guests are using the space responsibility and are following all predetermined plans. For closing, ensure that everything is left as it was found and is ready for the next reservation. Tidy up the space and check for damages/signs of misconduct inside the space. Report any damages or signs of misuse to the management staff immediately. The Assistant Studio Manager will have around one hour per week of additional remote work to respond to client inquiries and manage staff schedules. They will assist the Studio Manager with maintaining the calendars for studio staff, studio rentals, and prop rentals, and help ensure that the studio staff are caring for the space properly.

Requirements

  • Only students with majors or minors in the Park School of Communications will be considered for this positions.
  • Able to do 1-2 hours of office hours per week (can be done remotely as long as tasks get done)
  • Flexible schedule, available to work some late nights and weekends
  • Excellent organizational and time management skills
  • Strong communication skills and the ability to work with a variety of people
  • Knowledge of studio equipment, technology, and maintenance
  • Ability to multitask and handle various responsibilities simultaneously

Nice To Haves

  • Previous experience in studio or space management, hospitality, or similar role preferred (but not required)
  • Familiarity with The Studio space from working as Studio Staff, or from working on sets in The Studio, preferred (but not required)
  • Having a car is not required, but would make it easier since the location is off campus. It is a short walk from campus, about 10-15 minutes from the Park School, but having a car would be preferable, especially for late at night or in inclement weather.

Responsibilities

  • Greet and assist clients, artists, or other users who reserve The Studio
  • Ensure that all users follow The Studio guidelines and safety protocols
  • Provide tours of the space for people doing location scouts & answer their questions about the space and how it can be used for their project
  • At the beginning of a reservation, meet the students/client to give them an orientation to the space, show them where everything is, reiterate the guidelines for use, and answer any questions they may have.
  • At the end of a reservation, conduct a final walkthrough of the space with the client to ensure nothing is left behind, nothing is broken or damaged, and no Studio property was removed.
  • Ensure the studio space is organized, clean, and properly maintained.
  • Monitor and maintain studio equipment and supplies, ensuring everything is in working order.
  • Change the PIN code on the door after each reservation.
  • Contact clients to confirm reservations, answer questions, set expectations, discuss details, and complete paperwork
  • Coordinate staff schedules to assign coverage when reservations get made
  • Manage the Studio calendars for reservations, staffing, and prop rental.
  • Provide support to Studio users with any technical or equipment-related needs.
