About The Position

The Assistant Service Manager is responsible for assisting the Service Manager with customer service inquiries, coordinating service, installation, and warranty jobs, and ensuring efficient technician dispatch and contractor coordination. This role also involves assisting in handling estimates, updating schedules, and collaborating with internal teams to provide excellent service. This role will participate in management meetings and on-call rotations when required.

Requirements

  • Proficiency with QuickBooks, QuickBase, or similar job management and accounting software.
  • Excellent communication and organizational skills.
  • Ability to multitask and manage time effectively.
  • Strong leadership and interpersonal skills.
  • Ability to lead, motivate, and develop a team of service technicians.
  • Experience in customer service and service management.
  • Proven experience in managing service technicians or service teams.

Nice To Haves

  • Bachelor's degree preferred but not required.
  • Experience coordinating with third-party contractors and managing service teams is a plus.

Responsibilities

  • Assist the Service Manager as the first point of contact for customer calls and emails.
  • Address customer concerns and inquiries, ensuring a prompt and professional response.
  • Discuss findings and follow-up service needs with customers, including return visits or parts orders.
  • Assist in opening service, installation, and warranty jobs in QuickBooks.
  • Create work orders in QuickBooks and dispatch technicians as needed.
  • Assist Service Manager, to Coordinate job scheduling with Project Managers (PMs) and Service Control Engineers (SCE) to ensure proper designation of job types.
  • Assist the Service Manager in coordinating and communicating with third-party contractors for service execution and scheduling.
  • Review and organize service tickets daily, filing them accordingly.
  • Pull completed job folders for processing in QuickBooks.
  • Update the weekly service schedule board and maintain a list of pending and upcoming jobs.
  • Collaborate with management and projects teams during biweekly management meetings to ensure optimal scheduling.
  • Assist the Service Manager to Create labor and parts estimates for service jobs, submitting them for approval to relevant stakeholders (e.g., President, Director of Special Projects).
  • Follow up on estimate approvals and communicate with any necessary updates.
  • Work closely to Assist the Service Manager with Project Managers and other departments to align service schedules and ensure seamless operations.
  • Provide regular updates on service jobs and technician dispatch status to relevant teams.
  • Assist the Service Manager with the Management, supervision, and support the team of service technicians.
  • Assist in providing daily assignments to technicians, ensuring optimal use of their skills and time.
  • Assist when needed with the on-call rotation to ensure 24/7 support for service needs.
