About The Position

Primary Duties Front Office Operations, Processes & System Support Oversee front-desk operations and supervise Administrative Assistant II and Administrative Assistant III. Ensure consistent, high-quality customer service for students, faculty, staff, and campus visitors. Develop, maintain, and refine front-desk procedures, workflows, and service standards. Provide guidance and support to front-line staff for escalated customer service issues. Provide troubleshooting and support for end users of Registrar's Office systems; escalating as needed. Support Registrar’s Office Starfish functionality, coordination, and updates as required. Provide front-desk coverage, student support, and phone/email service during high-volume times or as backup. Oversee grades and end-of-term processes. Create in-term course sections and manage scheduling adjustments. Oversee drop-for-no-show processes. Compliance & Records Management Serve as the compliance officer for FERPA, SEVP, and NSC Enrollment Reporting. Serve as DSO and maintain international student records and I-20s in accordance with SEVP regulations. Complete and correct NSC Enrollment Reporting errors to ensure institutional accuracy. Support compliance-related workflows that impact enrollment, student records, and reporting. Communication, Forms, Training & Documentation Manage the communications calendar and oversee Banner Communication Management (BCM). Develop, maintain, and send campus-wide communications and messaging on behalf of the Registrar’s Office. Maintain Registrar’s Office webpages and related campus-facing documents. Oversee Formstack forms, workflows, and high-level troubleshooting. Maintain and update Registrar’s Office Standard Operating Procedures (SOPs). Develop and deliver clear, accessible training materials and presentations based on system and policy knowledge. Lead end-user training for Formstack, FERPA, Self Service Banner, Experience, Degree Audit, Transfer Evaluations, Transferology, TES, Banner, and other Registrar systems. Ancillary Duties Service & Other Duties Serve on university committees, workgroups, or project teams as assigned. Perform other duties to support the mission and operations of the Registrar’s Office.

Requirements

  • Bachelor's degree from a regionally accredited institution (or international equivalent)
  • Demonstrated ability to proactively identify opportunities, take ownership of tasks and drive projects to completion with minimal supervision.
  • Excellent verbal and written communication skills
  • Strong attention to detail and organizational skills
  • Excellent problem solving skills
  • Ability to multitask and prioritize
  • Previous project, task, or operations management experience
  • Demonstrated experience in a leadership or supervisory role
  • Experience training others

Nice To Haves

  • Bachelor's degree in communications, operations management, business, or related field
  • Understanding of FERPA as it applies to higher education
  • Knowledge of building Formstack forms or other digital form software.
  • Knowledge of Banner Student Information System, Banner Communication Management System, or Starfish
  • Understanding of international student visa regulations
  • Previous experience managing customer service operations
  • At least two years of significant supervisory or leadership experience
  • Experience working in education
  • Experience managing a technology system
  • Previous experience drafting or editing communications for large audiences
