About The Position

Gordon-Conwell Theological Seminary is a multidenominational, evangelical graduate school committed to equipping Christian leaders to think theologically, engage globally, and live biblically. Position Summary: Under the supervision of the Lead Associate Registrar, the Assistant Registrar supports the mission of the seminary by serving students through managing registration concerns, providing counsel regarding curriculum requirements, reviewing student academic performance, confirming graduates, commencement planning, overseeing Networked Education course schedules and setup for online registration, and serving as an International Student Advisor. This position is required to work in person at Gordon-Conwell’s Charlotte, NC campus a minimum of 3 days a week.

  • Technical Knowledge: Competent in using Outlook, Word, Excel, Teams, PDF Editor. Ability and willingness to learn to perform at an intermediate level in the Student Information System (SONIS). Experience with website content maintenance is helpful but not required.
  • Customer Service: Strong customer service skills with ability to display empathy with all constituents. Commitment to a high level of confidentiality and attention to detail is required. Willingness to learn registration policies, procedures, and standard degree program requirements in order to assist students.
  • Organization and Adaptability: Able to manage time well in order to accurately perform detailed work while also serving students in their varied academic concerns. Must be highly organized and detail oriented.
  • Familiarity with Academic standards: Familiarity with the policies and degree programs of the seminary is strongly preferred.
  • Commitment to the mission of Gordon-Conwell Theological Seminary; evident Christian faith and practice and active involvement in the life of a local congregation.
  • Bachelors required; Masters in Education or field related to the seminary preferred.
  • 3+ years’ experience working in an academic or similar administrative setting required.
  • 3+ years’ experience in a customer service and problem-solving environment is strongly preferred.

Nice To Haves

  • Experience in a supervisory role is preferred.

Responsibilities

  • Student Petitions and Academic Advising (35%)
  • Receives and acts on student petitions within seminary policies and communicates decisions to students.
  • Reviews Transfer Evaluation requests.
  • Works closely with the Student Success coordinator to provide counsel to students regarding curriculum requirements and course scheduling.
  • Reviews individual student class performances, with particular concern for potential probation situations or underachievement of required grade point average minimum.
  • Serves as a DSO to assist with maintaining the Student and Exchange Visitor Information System (SEVIS) and related certification requirements for the Charlotte campus.
  • Refers special problems to the Lead Associate Registrar or appropriate committee for counsel and direction.
  • Graduation Verification and Commencement Planning (25%)
  • Certifies the credentials for Networked Education graduates; reviews graduation applications and communicates important information to pending graduates.
  • Arranges for diplomas and graduation regalia for Networked Education graduates.
  • Assists with planning the graduation exercises and participates as assigned.
  • Staff Management and Data Entry (15%)
  • Supervises the Registration Assistant for Networked Education; ensures timely processing of registration related data entry, including registration forms, pass/fail petitions, biographical data, address changes, final grades, etc.
  • Course Schedules (15%)
  • Works closely with the Lead Associate Registrar to maintain up to date and accurate course schedules for Networked Education, ensuring changes are reflected on the website and Canvas site.
  • Ensures Networked Education course sections are created in the Student Information System (SONIS) in advance of online registration.
  • Collaborates with the interdepartmental Classroom Support Team, communicating course information and changes for each semester.
  • Orientation and Other Communication (5%)
  • Assists Student Success with Digital New Student Orientation.
  • Communicates with prospective students regarding academic and international student questions when referred by other teams (Admissions, Student Life, Financial Aid).
  • Communicates with other constituencies as needed.
  • Other duties as assigned by the Lead Associate Registrar. (5%)
