Who we need: We are looking for a motivated, experienced Assistant Property Manager to join our property management team and provide administrative support to the Property Manager. This is a full-time position based at Hanover, MA, providing administrative support to a portfolio of properties. The focus of this job is on producing high-quality, detailed work based on established standards, guidelines, and procedures. This position is multifaceted, working with multiple Account Executives. Candidates must possess excellent Excel and Word skills, have above-average customer service skills, remain calm under pressure, and work independently. You should be comfortable working with a repetitive routine and an even pace to promote accuracy and quality of work. What you’ll do: The Assistant Property Manager is responsible for assisting the manager with the operations of the physical plant, including oversight of preventive, responsive, routine and emergency maintenance throughout the property. Under the direction of the manager, the Assistant Property Manager will perform some tasks as part of a team, and for some tasks individually, such as the maintenance items listed below: Assigned oversight of tasks such as: Painting, electrical, plumbing, flooring, general carpentry, HVAC issues, window/glass repair, door/lock repair, minor repairs in common areas, manage the common area and unit owner work order data base, provide oversight to keep the grounds and common areas free of trash and debris, physical plant preventive, responsive, emergency and routine maintenance, inspecting grounds, buildings, and other community features throughout our four acre property. In addition: Negotiating, coordinating, and managing services/proposals/contracts necessary for the operation of the property and ensuring all contractors/vendors are VIVE approved. Cultivating and maintaining strong relationships with residents, employees, and vendors and the Board of Trustees. Attends and participates in monthly Board Meetings, as necessary. Oversight and management of rotational preventive maintenance - exterior Completing daily/weekly building and site inspections; scheduling all necessary work. Purchasing and maintaining current, accurate inventories of supplies and materials. Scheduling and supervising plumbing, carpentry, electrical, and special projects. Scheduling and maintaining CINC Work Order Data Base for both Common Area and Units to ensure satisfactory and timely responses. Scheduling or supervising site groundwork. Scheduling and supervising 3rd party vendors. Fostering a dynamic community environment that assures consistent owner satisfaction and yields outstanding customer service reviews. Being a role model for the standards and behaviors consistent with the core values of Barkan. Completing special projects, tasks or duties as assigned by the Property Manager. Managing emergency on-call service for after-hours maintenance-related issues as required. Fostering a positive and respec8ul attitude toward residents, vendors, and staff; working patiently, professionally and cooperatively. Communicating effectively with residents, fellow associates, vendors and supervisors. Complying with all personnel management policies and procedures. Ensuring adherence to the company’s safety and operating policies, standards and procedures. Working with the Property Manager to ensure the physical condition and appearance of the property will enhance the value of the community.

Requirements

  • At least three years’ experience in management of physical plant areas including plumbing, electrical, carpentry, painting, and general building operations.
  • Previous customer service experience.
  • Ability to supervise and direct third-party vendors and contractors.
  • Good organizational and planning skills.
  • General computer knowledge of Microsoft Word and Excel.

Responsibilities
