Requirements

  • Excellent organizational, problem-solving, verbal, written, and interpersonal communication skills.
  • Strong proficiency in Microsoft Office, especially Excel (data entry, management, reconciliation, and quality control), Word, and PowerPoint.
  • Experience creating spreadsheets, tools, or templates to support project management and budget tracking.
  • Bachelor's or Associate degree preferred; relevant experience considered.
  • 2+ years of experience in construction, project controls, accounting, or a related field preferred.
  • Basic understanding of construction operations such as cost tracking, scheduling, estimating, or document control.
  • Demonstrated ability to follow through on tasks, maintain meticulous records, and uphold consistent processes.
  • Positive, proactive attitude with strong customer service orientation.
  • Ability to work collaboratively and contribute to team success.

Nice To Haves

  • Familiarity with project management software (e.g., Procore), Microsoft Project, Adobe tools, or CAD is a plus.

Responsibilities

  • Support the Controls Manager and project management team on a large, multi-phased project by coordinating documentation, processing invoices, and maintaining accurate financial and project records.
  • Assist with the preparation, review, and submission of invoices, purchase orders, financial commitments, and supporting documentation to the client's internal accounting team.
  • Maintain organized project files, including drawings, meeting notes, change orders, logs, reports, and other documentation that reflects project progress.
  • Coordinate project schedules, meetings, and calendars; attend meetings and prepare meeting notes as needed.
  • Support the development of monthly client reports, including data validation and coordination with multiple team members.
  • Communicate with owners, architects, contractors, and vendors as needed to support project activities.
  • Assist in general project coordination, internal/external communications, and team organization.
  • Contribute to a collaborative and high-performing team environment by identifying and removing barriers to success.
  • Manage multiple tasks and deadlines in a fast-paced environment while maintaining accuracy and attention to detail.
  • Perform additional duties as required to support the successful delivery of the project.
