About The Position

The Assistant Project Manager supports the planning, coordination, and execution of a portfolio of annual projects ranging in value from $1,000 to $1,000,000. This role works closely with the Project Manager and key stakeholders to help ensure projects are delivered on time, within budget, and in compliance with client standards and organizational policies.

Requirements

  • Two to five (2–5) years of construction, facilities, or project coordination experience preferred
  • Basic knowledge of construction procedures and project management principles
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office applications (Excel, Word, etc.)
  • Strong organizational skills with attention to detail
  • Ability to effectively interact with stakeholders at all organizational levels
  • Willingness and ability to perform all assigned responsibilities within the scope of capability

Nice To Haves

  • Bachelor’s degree preferred; relevant licenses or certifications considered in lieu of degree

Responsibilities

  • Assist in assessing facility conditions and identifying project needs
  • Support the development of Capital Improvement Plan (CIP) budgets and project prioritization recommendations
  • Assist in preparing and coordinating Request for Proposal (RFP) documentation
  • Help develop detailed scopes of work
  • Coordinate public advertisement of projects in alignment with client bidding and procurement procedures
  • Participate in contractor bid walkthroughs
  • Track and document communications and Requests for Information (RFIs); assist in preparing addenda during the bidding process
  • Support contractor reference checks and due diligence efforts
  • Compile and summarize bid responses for review and recommendation to the Facilities Director and Business Administrator
  • Assist with contract administration tasks, including verification of certificates of insurance
  • Coordinate project schedules to minimize operational disruption for internal stakeholders
  • Help ensure contractors comply with internal policies, emergency procedures, and safe work practices
  • Attend and document regular project meetings
  • Assist with inspection of work to confirm compliance with contractual requirements
  • Review contractor invoices for accuracy and submit for approval in accordance with contract terms
  • Support management of punch list items and warranty issues following project closeout
  • Maintain effective working relationships with customers, contractors, and the community
  • Perform additional duties as assigned by the Property Manager, Project Manager, and Client
