About The Position

The Assistant Project Manager (APM) will be an integral part of the Meow Wolf project management team to successfully deliver new exhibit, renewal and renovation projects. The APM is expected to perform typical project management functions including but not limited to the below: The APM will support the Project Manager, Facility Design Manager, Senior Design Manager, Senior Director by taking responsibility for specific tasks and/or full processes in the project delivery process including administrative tasks through the planning, design, permitting, construction and close-out phases of the project.

Requirements

  • 2 - 5 years Project Management or Project Coordination experience.
  • Field experience on construction sites.
  • Bachelor’s Degree with an emphasis in business, engineering, architecture, design, liberal arts or other related fields or equivalent experience
  • Knowledge of Exhibition Design & Production Disciplines and how they interrelate.
  • Proven ability to manage project development process and documentation.
  • Solid understanding of scheduling, estimating and budgeting practices
  • Solid understanding of the contract administration process.
  • Strong ability to manage through conflict and problem-solve issues to resolution.
  • Excellent written and verbal communication skills.
  • Ability to take direction, adapt to change, establish relationships, and work in a team environment.
  • Demonstrated ability and a confidence in dealing with a large variety of project disciplines and personalities.
  • Superior facilitation skills.
  • Proven ability to oversee and integrate the work of diverse personnel at all levels into the overall project, including internal project team, consultants, staff extensions and contractors.
  • Ability to foresee problems/issues and proactively provide solution options.
  • Proven team player with the demonstrated ability to delegate both horizontally and vertically, as well as take direction from others.
  • Proficient user of Google Suite/Microsoft Office.
  • Presentation capabilities needed to provide project updates to all levels of management.
  • Expanded computer proficiency in various software.

Responsibilities

  • Participate in project design and construction meetings; contribute to the review of design documents; participate with the entire team in monitoring construction progress and quality
  • Perform on-site construction field observations, and write field observation reports; Review operational performance specifications
  • Assist with compiling, validating, and reconciling project data including gate deliverables and project documentation and various reporting requirements
  • Develop and manage assigned projects punch list activities.
  • Review submittals from the contractor for all close-out documentation including, but not limited to shop drawings, as-designed or as-built drawings, warranties, and lien waivers.
  • Prepare documentation identifying best practices and lessons learned
  • Maintain accurate and up-to-date financial reporting of assigned projects, including design and construction cost.
  • Provide monthly financial reports of assigned projects
  • Coordinate and integrate project information with internal and external organizations including project team, creative, operations, municipalities, vendors, and contractors
  • Coordinate with architects, engineers, and other construction and building specialists to ensure project deliverables are met on time and within budget.
  • Maintain the project record and calendar.
  • Set up and maintenance of the project record in BIM and Google Drive using standard or tailored MW file structures.
  • Maintain document control throughout the project process
  • Participate in meetings, document key discussion points and action items.
  • Manage Workday Purchase orders, invoicing and change management
  • Responsibility for the document and track scope lists, project strategies, deliverables matrices, etc.
  • Create and deliver project reports, analyzing data from project execution
  • Manage A/E and General Contractor submittal and RFI process
  • Draft scopes of work for AE services, consultants, and construction contracts
  • Management and occasional performance of scheduling, estimating, budgeting.
  • Act as the chief expeditor for the project.
  • Responsible for ensuring integration of personnel, schedules and disciplines at the working level.
  • Assist as needed with on-site logistics needed to construct, produce, install, and commission exhibitions.
  • Participate as necessary in observing on site tests required by the contract documents and support coordination of testing activities by agents retained by Meow Wolf.
  • Observe and review the contractor’s record drawings and report any apparent failure by the contractor to maintain records.
  • Work with the project team, including consultants and operations personnel to prepare a punch-list for the contractor, and ensure punch-list items have been addressed appropriately.
  • May substitute for the Project Manager on occasion as required.
  • Other duties as assigned.
