About The Position

We are seeking an Executive Assistant to support two senior executives and act as one of two coordinators for the department. The ideal candidate will be a self-starter who is flexible and can support a wide range of administration duties, ensuring that the department functions smoothly on a day-to-day basis. This is a demanding role that requires good judgment, clear communication, and exceptional organizational skills, paired with an eye for detail and genuine enthusiasm for both podcasting and social media. This position is based in our Los Angeles office with a 4:1 in-office hybrid schedule.

Requirements

  • 2+ years of experience in production or executive support, preferably within entertainment, media, or podcasting.
  • Demonstrated experience managing scheduling, travel logistics, and communication flow for a busy executive or team.
  • Proven ability to handle sensitive and confidential information with discretion, sound judgment, and professionalism.
  • Excellent written and verbal communication skills; ability to draft correspondence, meeting notes, and summary materials.
  • Experience coordinating across teams (creative, production, marketing, and operations) to ensure smooth execution of projects and events.
  • Knowledge of or hands-on exposure to social media platforms (Instagram, TikTok, X/Twitter, LinkedIn) and digital content workflows, plus enthusiasm for using AI to optimize processes.
  • Experience in using canva/photoshop/adobe suite (specifically Premiere)/microsoft
  • Familiarity with asset management and scheduling tools (e.g., Later, Sprout, or Buffer) and an eye for detail when curating content or tracking engagement.

Responsibilities

  • Oversee scheduling/calendars/travel/business expenses for creative executives.
  • Provide technical support for remote and in-person meetings and ensure that all protocols for communication are correctly followed.
  • Support the team with special projects, including gifts, holiday planning, company events, etc.
  • Assist with the coordination of office activities and events.
  • As needed, on rotation for back-up reception duties.
  • Manage studio bookings, interview schedules, and calendar invites for producers and guests, while ensuring seamless communication with the guest team and organizing NDA submissions.
  • Manage organization of creative documents, production calendars, incoming pitches, etc.
  • Track deadlines and deliverables for the Higher Ground Audio slate, ensuring shows hit their deadlines, and following-up on outstanding items.
  • Assist in organizing and maintaining creative documents, incoming pitches and podcast archives from existing and current shows.
  • Assist with research, prep necessary documents, and organize receipts and invoices for assigned shows.
  • Upload and manage episode assets on platforms like Art19 and Google Drive, and create Airtables to streamline production calendars and guest information.
  • Handle shipping of recording kits, purchase production-related items, plan catering and amenities for on-site recordings.
  • Assist with the scheduling and tracking of posts tied to podcast launches, announcements, and milestones.
  • Gather and organize assets such as clips, artwork, quotes, and press mentions, and help maintain shared content calendars to align release schedules with campaigns.
  • Monitor podcast-related engagement and flag notable items.
