The Assistant Operations Director plays a crucial role in overseeing various operational aspects within the facility management department. Reporting to the Business Service Manager (BSM), the ABSM provides support in managing day-to-day operations, ensuring compliance with company standards and client requirements, and fostering a culture of excellence among the team. Direct reports are Operations Manager and GMP Manager ensuring all programs are following All Critical Environments and ensures standard operating procedures are adhered to in multiple buildings. This may encompass a variety of Support Services (Import & Export, Mail Services, Shipping and Receiving, MAC, Warehouse, Vendor Management, Event Support, MRO Operations and Lab Services Support, GMP cleaning, GMP Pest Control Program & GMP glass wash).

Requirements

  • Strong verbal and written communications skills.
  • High School Diploma, GED preferred or equivalent combination of education and experience.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or associates of an organization.

Responsibilities

  • Assist the BSM in overseeing all operational activities within the facility management department. Ensure the efficient and effective delivery of services to meet client expectations and contractual obligations.
  • Provide leadership and guidance to departmental leads and staff members.
  • Support the BSM in hiring, training, and performance management of personnel.
  • Serve as a secondary point of contact for clients, addressing their needs and concerns in a timely and professional manner.
  • Collaborate with clients to develop and implement service plans that align with their goals and objectives.
  • Ensure compliance with company policies, industry regulations, and client standards.
  • Conduct regular inspections and audits to maintain quality standards and identify areas for improvement.
  • Assist in budget planning and monitoring to ensure effective allocation of resources.
  • Identify opportunities for cost savings and efficiency improvements while maintaining service quality.
  • Support the development and implementation of strategic plans to achieve departmental goals and objectives.
  • Identify opportunities for business growth and expansion of services, in collaboration with the BSM.
  • Identify areas for process improvement and implement initiatives to enhance operational efficiency.
  • Foster a culture of innovation and continuous improvement within the department.
  • Facilitate communication and collaboration among team members, departments, and stakeholders.
  • Ensure clear and effective communication of goals, expectations, and performance feedback.
  • Mitigate operational risks by identifying potential hazards and implementing appropriate controls.
  • Promote a culture of safety and adherence to health and safety protocols.
  • Monitor key performance indicators (KPIs) and performance metrics to track progress and identify areas for improvement.
  • Prepare regular reports and presentations for senior management and clients as needed.
  • Stay abreast of industry trends, best practices, and regulatory changes related to facility management.
  • Pursue opportunities for professional development and continuous learning to enhance skills and knowledge.
