The Assistant Manager provides essential support in administering the daily operations of campus improvement initiatives and special operational projects. This position plays a key role in communicating with external vendors, clients, and campus stakeholders to coordinate project timelines, overseeing procurement activities, and tracking budgets to ensure the successful and timely completion of multiple projects across multiple campuses. The Assistant Manager assists in establishing goals and priorities and works closely with stakeholders to ensure all initiatives are aligned with university standards and objectives. This role gathers project requirements, organizes resources, and monitors progress to drive successful outcomes. Serves as Campus Security Authority (CSA). Work hours: Mon-Fri; 8:00 AM – 5:00 PM or as work requirements indicate; This position may require work beyond normal business hours, weekends, and holidays; This is an on-site position located in Stephenville, Texas.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Four years of related experience.
  • Knowledge of word processing, spreadsheet applications, and Adobe software.
  • Ability to multitask and work cooperatively with others.
  • Strong attention to detail and organizational skills.
  • Ability to work effectively in a fast-paced environment and foster a teamwork atmosphere.
  • Ability to prioritize, manage multiple projects, and meet deadlines
  • Capability to handle confidential and sensitive information with discretion.
  • Excellent written communication, analytical, and interpersonal skills.
  • Exceptional problem-solving and time management skills.

Responsibilities

  • Develops and maintains integrated procurement schedules to ensure timely completion of project milestones.
  • Regularly tracks progress against baseline schedules and deliverable deadlines for multiple projects.
  • Monitors vendor performance, identifying potential delays, and provides updates to leadership and stakeholders.
  • Creates and process purchase orders, maintaining accurate, and complete records.
  • Coordinates delivery and installation schedules with vendors, overseeing deployment and ensuring installation quality.
  • Reviews and approves vendor invoices, ensuring compliance with contract terms prior to processing payments.
  • Prepares project budget summaries, aligned with organizational standards and long-range planning objectives.
  • Monitors actual expenditures against established budgets, identifying variances and ensuring fiscal responsibility.
  • Prepares and presents regular budget status reports, detailing approved spending and available resources.
  • Acts as representative of Campus Operations and as valued member of TSU as part of the A&M system and performs other duties as assigned.
