Scope: The Placement Assistant supports the Placement Team in the marketing and placement of insurance programs for both prospective and renewal accounts. This role is instrumental in submission preparation, data entry, document generation, and carrier communication. The individual will serve as a collaborative resource to internal stakeholders across various lines of coverage and contribute to the team’s operational efficiency, organization, and market engagement.

Requirements

  • Excellent written, verbal, and interpersonal communication skills, including strong phone etiquette.
  • Ability to adapt to shifting priorities and meet deadlines in a fast-paced environment.
  • Exceptional attention to detail and document accuracy.
  • Strong customer service orientation and ability to collaborate effectively in a team environment.
  • Ability to work independently with minimal supervision.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, PowerPoint, SharePoint, Teams).
  • Strong organizational skills and ability to manage multiple tasks simultaneously.
  • Applicable insurance license preferred.
  • Candidates should be comfortable with an on-site presence to support collaboration, team leadership, and cross-functional partnership.

Responsibilities

  • Submission Preparation: Work with team members to prepare complete and accurate property and casualty insurance submissions for new and renewal business, including insurance specifications, Acord applications, loss summaries, specialty applications, prospect profiles, and exposure schedules.
  • Data Entry & System Updates: Input and maintain accurate client and policy information within the agency management system (EPIC).
  • Document Management: Prepare customer-facing documents such as proposals, coverage summaries, and correspondence.
  • Broker of Record Processing: Create, submit, and process Broker of Record Letters.
  • Data Analysis Support: Prepare Excel spreadsheets to assist in the evaluation of client exposures and/or loss data.
  • Information Coordination: Work with internal and external parties to gather and deliver needed information, quotations, and proposals.
  • Market Monitoring: Track flow of business to various markets and maintain awareness of submission status.
  • Pipeline & File Maintenance: Update the pipeline report for prospective accounts and maintain an accurate suspense file.
  • Confidentiality: Handle confidential and sensitive information with professionalism and discretion.
  • Project Work: Contribute to special, nonrecurring, and ongoing projects independently or in collaboration with others.
  • Professional Development: Attend company meetings, seminars, and other educational activities to enhance product knowledge and market awareness.
  • Licensing Compliance: Maintain active licensing status and complete all required continuing education.
