Requirements

  • At least 1 year of event planning, management and execution is required.
  • At least two (2) years of Homeowner Association (HOA) management experience required.
  • Strong interpersonal, supervisory, and customer service skills are required.
  • Able to set priorities, plan, organize, and delegate effectively.
  • Must have a command of the English language, both written and verbal.
  • Excellent phone etiquette and ability to address resident concerns quickly.
  • Ability to work effectively under time constraints and deadlines.
  • Ability to read, understand, and explain financial statements, including balance sheets, income statements, and general ledger.

Nice To Haves

  • Associate or Bachelor’s degree preferred.
  • Notary Public certification preferred, or ability to obtain Notary Public certification within 30 days of employment.
  • An active LCAM certificate is preferred, or the ability to obtain the certificate within 6 months of hiring.
  • Bilingual (English/Spanish preferred).

Responsibilities

  • Supervision of team members at the direction and in partnership with the General Manager.
  • Receives and responds to incoming calls from homeowners, board members, committee members, and vendors, and addresses their requests at the direction of the General Manager.
  • Assist in preparing board and committee meeting agendas and execute meeting notice publishing per state law requirements.
  • Assist in creating and publishing board meeting packages, attending board meetings, and taking notes for management action items and/or board meeting minutes.
  • Execute monthly compliance inspections from their vehicle and on foot, as needed. Document and photograph the compliance issues for compliance notices for homeowner notification.
  • Execute regular follow-up inspections for open violation issues, communicate with homeowners regarding violation notices they receive or report, and maintain meticulous records.
  • Assist with the preparation of the annual members meeting notice, board election ballots, and annual meeting presentation, attend the annual meeting, and assist in tallying votes and documenting results.
  • Maintain association records in CiraNet, including, but not limited to, work orders, contracts, proposals, architectural applications, and vendor meetings, meticulously.
  • Receive and review architectural applications from homeowners and ensure they are ready for consideration by the architectural committee.
  • Maintain consistent communication with the homeowners submitting architectural applications regarding status updates from submission to committee review and their determination.
  • Act as liaison for the Architectural Committee and attend their meetings as needed.
  • Manage the association CiraNet inbox to ensure 24 hour response for all messages and appropriate assignment to the responsible team member or department.
  • Assist the Association Manager with researching resident requests and/or official records requests.
  • Additional duties assigned by the General Manager.
  • Plan, coordinate, promote, and implement community-wide, large-scale events with the partnership of the association’s social/events committee, if applicable.
  • Plan, coordinate, promote, and implement smaller, “pop-up” events to meet the needs of smaller sectors of the community demographics with the partnership of the association’s social/events committee, if applicable.
  • Manage association events and common area reservation rental calendars to ensure no scheduling conflicts, time for maintenance and repair to the amenities in conjunction with the maintenance team and/or association contractors.
  • Utilize community facilities and amenities to highlight all the association’s offerings.
  • Vendor management skills to ensure excellent vendor partnership and relationship building.
  • Secure all entertainment, food, decorations, and items necessary to execute the event.
  • Document event costs, details, layout, and planning details on association-owned tracking software to ensure trackability for the event execution over time.
  • Photograph community events and resident participation at each event.
  • Track event attendance and feedback over time to gauge resident engagement and assess lifestyle program success.
  • Provide a monthly lifestyle program report to the General Manager to review with the board of directors at their board meetings, to review recent events, and highlight upcoming events.
  • Act as the association's social committee liaison and solicit input and involvement from residents by attending committee meetings.
  • Manage all association communication channels, including, but not limited to, e-newsletter platform, paper newsletter publications, press inquiries and promotion, association public-facing websites, etc.
