Assistant Facility Manager What this job involves: Work alongside the Facility Manager to oversee maintenance and repair services while ensuring exceptional client satisfaction. This role focuses on managing work orders, vendor relationships, and operational budgets while monitoring performance metrics and driving continuous improvement initiatives to deliver superior facility management services.

Requirements

  • Minimum two years facility management industry experience
  • Basic computer and mobile (Smartphone) skills for various business applications
  • Strong organizational and management skills
  • Ability to work independently without constant direct supervision
  • Excellent customer service, verbal, and written communication skills
  • Ability to multi-task and effectively organize responsibilities
  • Strong demonstration of JLL core behaviors: Teamwork, Ethics, and Excellence

Nice To Haves

  • Bachelor's degree in Facility Management or Property Management
  • Advanced knowledge of building systems and technical operations
  • Experience with vendor management and business partner coordination
  • Previous experience with KPI monitoring and performance improvement initiatives

Responsibilities

  • Create and issue purchase orders for JLL vendors and contractors
  • Review, prioritize, and create work orders while determining required activities and resources for completion
  • Monitor daily work order performance and follow up to ensure superior customer experience
  • Assist in meeting or exceeding site KPIs and monitor SLAs monthly to identify potential issues
  • Conduct quality analysis of customer feedback and develop effective response plans
  • Estimate labor resources, review invoices, and coordinate operational safety requirements for work orders
  • Coordinate with Account Team to source and identify new Business Partners for client services
  • Set up and lead monthly conference calls with Business Partners to discuss performance and trends
  • Create and publish weekly, monthly, and quarterly work schedules for team members and clients
