About The Position

Reporting to the Director of Transitions and Community Living, the Assistant Director functions with a high degree of autonomy and is primarily responsible for the execution of an effective, creative, and well-rounded community living curriculum based on broad goals established collaboratively with the Director. This position will provide leadership and collaboration with orientation and housing staff, contractors, vendors, students and families. This position will oversee an annual operating budget of approximately $17m. This position may be required to report to work during curtailment.

Requirements

  • Master’s Degree in related functional area and a minimum of 5 years’ experience in college student housing/residential life or related functional area
  • Experience supervising professional staff
  • Experience with New Student Orientation
  • Experience with summer housing
  • Ability to establish and maintain collaborative and effective working relationships with faculty, staff, students, and key stakeholders
  • Public speaking to groups over 500 and group facilitation experience
  • Knowledge of college student development theory and practice
  • Demonstrated understanding of diversity, equity, and inclusion
  • Demonstrated ability to be self-motivated and self-directed
  • Ability and willingness to work some evening, weekends and holiday hours as necessary
  • Proven experience with assessment and evaluation of programs and events
  • Proven ability to prepare and deliver professional presentations, explain complex ideas to diverse audiences, build consensus, and influence decision making
  • Experience with housing, conduct, and student success software systems

Responsibilities

  • Leadership & Education (25%) Actively provide dynamic leadership, vision, creation, and development of a robust community living curriculum that supports co-curricular engagement and academic success for students.
  • Ensure integration of Transitions and Community Living efforts with those of complementary programs within Student Engagement and Student Academic Support Services.
  • Ensure all aspects of Community Living support the unique individuality and distinctiveness of our students and staff
  • Deliver thorough ongoing assessment and evaluation, ensuring that programs are effective in helping students attain departmental and College-Wide Learning Outcomes, align with college values, and are responsive to campus and national trends, the current legal environment, and changing demographics
  • Oversee the recruitment and selection of Community Living staff. Recommend hiring and separation of employees when appropriate
  • Supervision (25%) Directly supervises five full – time Community Directors providing oversight for residence halls including, training, evaluation, goal setting, accountability, and providing feedback
  • Provides indirect supervision of 52 Community Assistants for departmental initiatives
  • Direct and support Community Directors on the recruitment, training, supervision, and evaluation of undergraduate Community Assistant Staff
  • Coordinate regular meetings with direct reports and student staff and participate in departmental meetings
  • Assists with various student issues including academics, peer conflicts, personal problems
  • Provide leadership for programming that complements student and community development.
  • Emergency Response/Crisis Management (15%) Participate in a 2 person on-call emergency duty rotation throughout the year (evenings and breaks), including academic breaks
  • Consult with Community Directors (CDs) on assessing crisis situations and provide direction for action to be taken
  • Serve as a key point of contact for external/internal staff and agencies regarding crisis situations
  • Participate in direct outreach and resolutions addressing incidents of bias that occur on campus
  • Partnerships (10%) Establish and maintain partnerships with internal teams including Faculty, Facility Managers, and Community Standards.
  • Establish and maintain partnerships with partners on the broader campus, including the academic departments, Athletics, SASS, Dining, Campus Safety, DoS team, Title IX office, etc.
  • Represent Community Living on campus committees and working groups.
  • Policy Provide policy input to support a dynamic, safe, and ethical student experience including development, review, articulation, and dissemination of policies and procedures for areas of oversight
  • Provide enforcement of Keene State College policies and local, state, and federal laws regarding on-campus living
  • Housing Co-Lead move-in and move-out processes, residential inventory, and various additional residential logistics
  • Design and coordinate health and safety checks throughout the academic year
  • Maintains a working knowledge of all housing-related technology including the electronic housing portal, StarRez, training and reporting, as well as the related website content that includes integration with Workday, and CS Gold
  • Facilities Management Monitor the quality of services provided through facilities management staff and contractors focusing on safety and customer satisfaction.
  • Ensure contract compliance by the contractor, such as conducting tests specified in contract and installing materials/equipment as specified in contract, and report deficiencies to contractor
  • Work collaboratively and liaise with the Department of Facilities to maintain the daily operations of 20 residence halls
  • Contributes to the creation and maintenance of protocols for coordinating residence hall repairs, the coordination of move-in and move-out, as well as the organization and implementation of transitional and summer housing
  • Coordinates bedroom inventories, common area inventories and partners with facilities and project management to plan for furniture replacement, capital improvements, and building renovations
  • Contribute to long-term capital improvements, renovations, and new construction in support of the master plan of residence halls
  • Conduct research, benchmarking, and best practice analysis projects on various facilities-related topics
  • Conference Management (10%) Assist with processing invoices and collecting liability insurance for event rental customers
  • Prepare and maintain contracts/rental agreements for all conference groups
  • Responsible for performing and supervising staff in a variety of functions and duties directly related to the coordination of conference and summer housing programs
  • Supervises staff in functions and duties directly related to the coordination of conference and summer housing programs related to registration and housing services including, managing and assigning workload, overseeing and reviewing performance, communicating organizational needs and expectations, training newly hired staff, training existing staff on update policies and procedures, resolving employee issues, and managing registration staff schedules and time-off requests
  • Recruits, trains and supervises summer housing staff
  • Design policies and procedures for conferences and summer housing
  • Create and maintain logistical work orders.
  • Facilitate regular meetings of service-providing departments to ensure smooth delivery of all event-related services.
  • Serve as a liaison between planners and on-campus service providers.
  • Prepares, implements, and enforces policies pertaining to employees, guests, and visitors within rooms and public areas in residence halls
  • Manage the registration for all conferences, including reviewing all completed registration, monitoring capacities and managing waitlists for conference events.
  • Collecting and facilitating attendee accessibility and special requests, such as dietary, hearing, visual, mobility, and other related needs; processing on-campus housing reservations and completing housing assignments
  • Must maintain current PCI/DSS Compliance training and understand best practices related to payment processing and securing sensitive attendee and cardholder data
  • Manage duties related to accounts receivable and accounts payable for all registrations
  • Creates and sends electronic confirmations, detailed arrival and on-campus housing information, surveys, and other conference specific notifications
  • Prepares an accurate financial statement of monies received for each conference
  • Resolves conference client and attendee related issues and complaints
  • Maintains the inventory of residence hall rooms within the registration system
  • Manage card access for all groups
  • Transitions (10%) Provide leadership and support for all Orientation & Family programs, including Owl Orientation, Welcome Days, and Family Day
  • Support the recruitment, hiring and training of Orientation Coordinators, Staff, and Assistants
  • Co-Organize, Plan and Assess all Family Day programming
  • Co-Facilitate the Family Facebook page keeping families informed of campus information
  • Committee Member on Core Team 2 – Anti-Melt
  • Foster and maintain positive working relationships with college parters including Admissions, Marketing & Communications, Student Academic Support Services, Student Financial Services and DoS office
  • Collaborate with the Director on budget preparation and maintaining appropriate records of expense
  • Finance (5%) Provide oversight for departmental processing and expenditures, ensuring consistency with the departmental, campus, and USNH policies and guidance.
  • Other duties as assigned
