About The Position

The Assistant Director of Education sets the standards of educational quality and supports the efforts of the faculty and staff to achieve maximum educational effectiveness. He/she develops academic policies and programs for the institution, directs and coordinates activities of department/program chairpersons, faculty, and provides general direction to the Registrar and Librarian of the institution. As the academic head of the institution, advises the School Director, National Director of Education, and Vice President of Education on all retention and academic matters. The Assistant DOE also serves as the liaison officer with accrediting and licensing agencies. In the absence of the School Director, may serve as the chief administrative officer.

Requirements

  • Documented expertise in operations and management of academic affairs and personnel as demonstrated by resume, references, transcripts, certifications, etc.
  • Ability to hire, train, and supervise department chairpersons, faculty, and other academic personnel.
  • Excellent verbal, written, and computer skills, including Microsoft Office Suite and Student Database Management System.
  • A minimum of 5 years of experience in the management of proprietary post-secondary school education, public school, or appropriate corporate training is required.
  • Must have previous teaching experience and competency necessary to lead and manage curriculum development, educational effectiveness assessment and improvement, and faculty development and performance appraisals. Strong experience in student outcomes, retention strategies, and problem-solving abilities is needed.
  • A Bachelor degree is required

  • Master in Education and/or a Ph.D. preferred.
  • Certifications and licenses in the appropriate area of expertise may be required as per the specific requirements of regulatory agencies.

Responsibilities

  • Ensures that faculty and staff clearly understand their responsibilities and duties.
  • Ensures that daily, weekly, and term activities are completed promptly (e.g. turnaround time on student schedules, tests, and assignments, equipment functioning).
  • Assigns various projects and duties (determined with the School Director or Dean) to appropriate members and monitors progress.
  • Monitors regulatory compliance, provides student census and tracking data for annual compliance reports.
  • Maintains records and files in accordance with regulations.
  • Handles submissions of self-study, program approvals, and program revisions to state, programmatic, and institutional accrediting agencies.
  • Assists with accreditation readiness and accreditation visits
  • Plans, conducts, and documents advisory board meetings, faculty, and in-service meetings and seminars.
  • Evaluates instructional performance at least twice a year for all instructional staff through classroom observation.
  • Reviews course evaluation surveys and discusses results with the respective faculty members, department/program chairperson, and School Director.
  • Quickly responds to students who demonstrate undesirable behaviors (such as poor attendance/attitudes, or lag in motivation and enthusiasm), and thereby positively influences the entire academic climate.
  • Counsels students who are absent or otherwise exhibiting negative behavior and refers to Student Services if needed, and maintains records of those counseling sessions.
  • Oversees student Clinicals, Externship, and Internship activities and monitors their successful completion.
  • Encourages and motivates faculty to participate in activities such as guest speakers, field trips, Advisory Board activities, evaluation of texts, student evaluation, and curriculum updates and changes.
  • Assures that up-to-date course outlines, syllabi, and lesson plans for each course are maintained.
  • Aids, assists, and counsels students in the direction or resolution of personal and academic concerns.
  • Reviews and analyzes, for Standards of Academic Progress purposes, the mid and end-of-term grade reports for every student in the program, and provides academic advice to students not meeting published satisfactory academic progress standards.
  • Maintains a proactive stance in the retention of students.
  • Administers the Transfer policy and determines which courses students may transfer from other institutions.
  • Acts as a catalyst for the ongoing improvement of educational training programs and the expansion and/or changing of existing programs.
  • Interviews and recommends new faculty hires to the School Director, and conducts orientation of new faculty members.
  • Implements a course of action for faculty whose performance needs improvement.
  • Conducts initial faculty training utilizing the Online Faculty Fast Track training program upon hiring of new faculty members.
  • Regularly identifies and monitors faculty professional development activities and programs.
  • Reviews academic policies and procedures at New Student Orientation.
  • Develops, updates, and enforces academic policies and procedures.
  • Oversees the development and continuous updating of the Institutional Effectiveness Plan
  • Oversees the development, approval, and timely implementation of new programs and curriculum revisions.
  • Participate in activities related to the admissions process, including, but not limited to, providing the admissions team with updated information concerning educational offerings and the licensure, certification, and career aspects of industry areas.
  • Develops and implements local articulation and partnership agreements
  • Serves the interests of the School in outside committees and through contacts with local businesses, agencies, and organizations.
  • Adhere to and support school policies and procedures as referenced in the employee handbook, faculty handbook, and catalog.
  • Attends graduation and orientation ceremonies.
  • Perform such other duties as may be specified by the School Director, National Director of Education, or the Vice President of Education.
  • Maintains regular and reliable attendance.
  • Plans, implements, administers, and evaluates all functions and services of the Registrar's office, including procedures, processes, and computer systems; develops and modifies procedures/systems in accordance with institutional needs and objectives.
  • Supervises and evaluates all functions and services of the Academic Support Staff and Office, including procedures and processes.
  • Supervises and evaluates all the functions and services of the Student Records and Bookstore personnel, including procedures and processes.
  • Administers data entry for the Campus Portal and CampusVue Systems.
  • Administers and develops a system to maintain student academic records.
  • Interprets academic rules and regulations; monitors academic progress of students; and coordinates probations, Dean's list, and President’s List.
  • Manages graduate and transcript processing and coordinates academic information for graduation clearance.
  • Responds to inquiries concerning academic performance and resolves problems regarding student records.
  • Maintains copies of course catalogs and addenda and assists with updates.
  • Organizes and conducts the registration process of new and continuing students.
  • Performs regular audits to ensure compliance with policies relating to documentation required in academic files to include high school transcripts, immunizations, etc.
  • Coordinates with all departments to maintain consistent processes and standards regarding development, flow, and maintenance of student records.
  • Ensures accuracy and security of official student records, including both electronic and manual records and files.
  • Accurately and promptly processes attendance and grades.
  • Processes student transcripts and reviews student records for graduation.
  • Assists in the evaluation and entry of transfer credits promptly.
  • Assists with graduation and student orientation as needed.
  • Completes annual reports to regulatory and accrediting agencies.
  • Compiles a variety of statistical information and reports (e.g., IPEDS reports).
  • Carries out/participates in a variety of key planning tasks, such as planning the registration process, creation of the master schedule, computerizing student records systems, preparing enrollment projections, and analysis of classroom facility needs.
  • Distributes academic policy memos relative to exam policy, attendance, etc., to faculty and students as required.
  • Assures that the policy “the student comes first” is always adhered to, as well as customer service at all levels.
  • Participates in professional development activities and serves on committees as needed.
  • Provides administrative support to the Dean and Associate Dean.
  • Directly supervises two or more employees.
  • Performs other duties as assigned.
