About The Position

The Assistant Director of Convention Services & Catering is responsible for overseeing the facilitation of group information throughout the hotel, assisting the Director of Convention Services in enhancing staff development and ensuring outstanding customer service. This role involves managing daily operations, financials, and contracts, while also coaching and supporting Convention Services Managers.

Requirements

  • 2 years related management experience.
  • 2 years related experience and/or training.
  • Ability to lift up to 25 lbs. consistently and 50 lbs. infrequently.
  • Must be able to legally work in the USA.
  • A four-year college degree or equivalent experience.

Nice To Haves

  • Certified Meeting Planner (CMP) preferred or previous similar training.

Responsibilities

  • Manage daily operations of the convention service office.
  • Handle financials of the department.
  • Execute contracts.
  • Make decisions that impact the operations.
  • Assist and coach convention service/catering manager.
  • Effectively plan, execute, and oversee meetings and food and beverage services.
  • Negotiate catering food and beverages with clients.
  • Review and monitor banquet food and beverage revenue.
  • Delegate specific tasks to staff members.
  • Communicate with staff and the operating department.
  • Maintain file turnover process and assist in assigning group files based on customer needs and management availability.
  • Develop Conference Assistants to understand the policies and procedures of convention services and provide outstanding customer service.
  • Schedule Conference Assistants and manage their payroll.
  • Facilitate Daily BEO Meetings.
  • Handle larger and most prestigious groups, communicating directly with the group/customer contact.
  • Collect all pertinent information to facilitate a successful conference.
  • Work with the sales department manager as a partner and maintain open lines of communication.
  • Use computer programs effectively, including V1, Outlook, Word, and Excel.
  • Attend various departmental and group meetings as required.
  • Coordinate one-on-one meetings with Convention Services Managers for coaching and training.
  • Participate in Annual Reviews for managers with the Director of Convention Services and Director of Conference Management.
  • Be available 24 hours to the meeting planner/group contact while they are on site at the hotel.
  • Understand Fire Code Regulations throughout the hotel convention space.
  • Know rigging capacities and allowable hanging locations.
  • Be knowledgeable of banner and sign permitted placement.
  • Understand how to calculate room capacities without use of diagrams.
  • Know function space capacities, ceiling heights, floor weight restrictions, load-in and load-out areas, and flow of events.
  • Review Group Resumes and Program Outlines for accuracy and consistency prior to distribution.
