About The Position

Performs administrative work within a collaborative team environment and participates in division-wide decision-making and planning. Facilitates college-wide implementation of academic student services and acts as the central point of coordination between Academic Deans and Student Enrollment Services. Ensures students experience seamless navigation across offices by aligning processes, timelines, communications, and referral pathways for academic standing, appeals, waivers/substitutions, and complex registration issues. Partners with Student Enrollment Services units to promote timely student notifications.

Requirements

  • Master’s degree from an accredited institution
  • Minimum of three (3) years of progressively responsible experience in academic affairs operations, enrollment services, or related higher education areas
  • Demonstrated ability to coordinate cross-unit processes and achieve outcomes through collaboration
  • Strong analytical skills and experience producing and interpreting operational reports (enrollment, scheduling, fill rates, student progression, academic standing outcomes) for planning and decision-making
  • Excellent written and verbal communication skills, including the ability to create clear process documentation and deliver presentations/trainings
  • Proficiency with student information systems and related tools (SIS, reporting dashboards, Microsoft Office/Google Workspace)
  • Ability to work occasional evenings/weekends during peak periods (registration, Open Houses, orientation, end-of-term processes)

Responsibilities

  • Ensures academic student services support student progression, retention, and completion, and that services meet student educational needs across modalities (in-person, hybrid, online).
  • Meets with students to review and resolve academic matters, including academic appeals, academic standing concerns, academic integrity violations, and related exceptions; supports appropriate resolution pathways consistent with College policy and timelines.
  • Reviews and processes course substitutions, curriculum waivers, and other degree requirement exceptions; ensures consistent application of catalog requirements in consultation with chairs and deans as needed.
  • Manages the end-of-term academic honors process (e.g., Dean’s List, Department Honors, Chambers Award), including eligibility review, data validation with the Registrar, resolution of exceptions per policy, and coordination of student notifications and campus reporting.
  • Participates in the development, implementation, and assessment of strategic plans, operational goals, and procedures that improve student access, onboarding, and completion pathways.
  • Ensures effective communication across campus regarding academic processes, timelines, updates, and requirements; develops and maintains clear documentation (guides, workflows, decision trees, FAQs) for students, faculty, and staff.
  • Confers with department chairs, faculty, the Registrar, and Enrollment Services areas to resolve complex registration issues and to mitigate barriers to student progression.
  • Conducts end-of-term academic standing reviews each fall and spring (e.g., good standing, warning, probation, continued probation, suspension/dismissal as defined by policy); coordinates notifications, documentation, and referrals to supports.
  • Produces, reviews, and analyzes statistical reports for academic planning and budget/resource purposes (e.g., progression/stop-out patterns, waiver/substitution volumes, academic standing outcomes); prepares summaries and recommendations for leadership.
  • Makes presentations and delivers training across the College community on student academic processes, academic standing practices, registration policies, and best practices to promote consistency and reduce barriers for students.
  • Represents the College at campus-wide functions (Open Houses, orientations, recruitment/registration events) and, as assigned, at external meetings with community and transfer partners.
  • Supports Academic Affairs deans and performs other duties as assigned in support of the College mission.
