About The Position

This position supports the work of the YMCA of the Rockies, Estes Park Center, which operates a mission-based family and group conference and retreat center serving more than 150,000 guests annually. The Assistant Conference Director is primarily responsible for assisting the Conference Director in all aspects of staff management & quality assurance to uphold established product and hospitality standards delivered to conference groups, family reunions, and weddings. Requirements

  • A bachelor’s degree is preferred, plus at least three years of experience in conference-related services.
  • Has skill and interest in contemporary conference best practices and public relations is desirable.

Responsibilities

  • Assists the Conference Director in establishing efficient department processes.
  • Possesses solid supervisory skills to effectively manage & train a diverse staff.
  • Creates staff schedule and assists with Time Management as needed.
  • Assists groups requiring special lodging and/or billing requests.
  • Assists Conference Director with staff issues and disciplinary action, holding staff accountable to uphold performance & hospitality standards established.
  • Works with most of the large groups from initial contact through all planning before and during the conference, and until the final bill has been paid.
  • Assist in managing the project room in preparation for arriving groups.
  • Must be available to work evenings and holidays.
  • Will be required to work weekends.
  • Assist in training other coordinators and seasonal staff.
  • Fills in as necessary in the Conference Director's absence.
  • Be able to speak and write English
  • Possess a valid, USA state-issued driver’s license, an acceptable driving record, and comply with YMCA driving rules to be approved to operate YMCA vehicles
  • Manages for maximum guest and association advantage, approximately seventy-five meeting rooms used by conference groups
  • Troubleshoots and resolves problems that arise with conferences and family reunions to ensure a successful stay at the Estes Park Center.
  • Provides quality control checks of paperwork, keys, and meal tickets for arriving groups.
  • Provides quality control checks of group logistics before arrival to ensure accuracy of lodging, meeting room & meal details.
  • Ensures timely, accurate, and understandable preparation of final bills for each
  • Assigns groups to Conference Coordinators.
  • Attends meetings and orientation presentations in the absence of the Conference Director.
  • Possesses exceptional interpersonal skills required to work with group leaders, conference delegates, and department managers.
  • Strong organizational skills to coordinate the needs of many separate groups on the grounds at any given time.
  • Ability to manage multiple priorities simultaneously and see them through to completion

  • Must meet acceptable criminal background check standards.
  • The employee needs to be able to lift, carry, and set up tables, various objects, including but not limited to tables, chairs, and stage pieces, when assisting the Conference Setup & Support department
  • Be able to bend, stoop, kneel, vacuum, walk, and scrub using a variety of cleaning chemicals.
  • The employee needs sufficient strength, agility, and mobility to perform essential functions and to supervise activities in a wide variety of indoor and outdoor locations
  • The employee must be able to regularly lift to 60 pounds and move up to 150 pounds
  • The noise level in the work environment is usually moderate, but employees must communicate any hearing concerns, as this department works side by side with the Audio/Visual department.
