About The Position

The Assistant Clinical Office Manager supports clinic operations under the direction of the Clinical Office Manager (COM). This role supervises clinical staff, ensures efficient daily operations, and helps deliver high-quality patient care in a fast-paced, collaborative environment. This is a position of trust that plays a key role in team engagement, compliance, and patient experience.

Requirements

  • Strong verbal and written communication skills required.
  • Ability to influence positively and collaborate across teams.
  • Active, unrestricted Florida LPN or RN license.
  • CNA certification or Certified/Registered Medical Assistant certification.
  • Current BLS certification.
  • High School Diploma or GED required.
  • 3–5 years of experience in a progressive medical office environment.
  • Experience with electronic medical records and Microsoft Outlook.
  • Ongoing continuing education to maintain licensure/certification.
  • Level 2 background clearance and required immunizations (MMR, Hep B, Varicella, Tdap, PPD).

Nice To Haves

Responsibilities

  • Support day-to-day operations of a multi-specialty medical clinic.
  • Supervise and coordinate clinical staff schedules and assignments.
  • Ensure excellent patient experience, quality, and timeliness of care.
  • Promote compliance with FQHC regulations, clinic policies, and safety standards.
  • Serve as a resource for clinic services, provider specialties, and patient programs (e.g., sliding fee scale, pharmacy, social services).
  • Assist with staffing needs, including recruitment, onboarding, and training.
  • Support performance management, including 90-day and annual reviews.
  • Back up the COM with payroll approval, time-off requests, and HRIS functions.
  • Assist with budget awareness, supply inventory, and purchase orders.
  • Ensure medical equipment calibration, inspections, and required annual trainings.
  • Promote documentation standards supporting UDS and HEDIS quality initiatives.
  • Ensure cross-training of staff to support operational and quality goals.
  • Travel between clinics is needed for coverage.
  • Perform other duties as assigned.
