ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Assists in maintaining custody of official city records/archives including ordinances, resolutions, minutes, deeds, contracts, insurance, and licenses. This includes physical and electronic maintenance of documents, and uploading documents to the City’s website for the public. 2. Assists with city records management. 3. Assists in preparing and distributing the city council agenda and packet materials for each member of the city council, the press, and designated staff members. 4. Posts official notification of meetings, advertisements, legal documents, and ensures publication of notices and ordinances. 5. Responsible for Community Center reservations, collection of fees, and related calendar. Reviews Community Center Policy annually for applicable updates. 6. Assists in issuing business licenses, cereal malt beverages, and liquor licenses, temporary permits for special events, and transient vendor badges. 7. Assists with HR needs and payroll. 8. Transcribes the minutes of city council meetings and other assigned boards, commissions, and committees. 9. Assist voters with registration and answering questions. 10. Assists in tracking the various city boards. 11. Maintains the electronic message board. 12. Assist City Clerk/HR Director regarding Mayor’s Annual Christmas Tree Program and Tree Lighting Ceremony. 13. Assist City Clerk/HR Director with assigned City related events. 14. Types letters, memos, flyers, invitations, mail merge documents, schedules and other written communications for the department. 15. Creates fliers, makes photocopies, scan documents, answer phone, files, and performs other clerical functions. 16. Accepts and time stamps bid/RFQ/RFP submissions. 17. Responds to inquiries from the public, elected officials and staff in a timely, courteous manner. Maintains positive relations with the community. 18. Greets the public cheerfully, answers the City telephones lines, and responds to citizen inquires. Answers or directs service complaints. SECONDARY ESSENTIAL DUTIES AND RESPONSIBILITIES 1. Assists with accepting and receipting utility payments and various other payments over the counter and via phone call. Receives payment by cash, check, credit cards, or money orders. 2. Assists with posting deposits to the appropriate customer, assuring accuracy and timeliness. 3. Assists in sorting and distributing daily mail. 4. Performs other related duties as assigned.
