Requirements

  • High school diploma or equivalent.
  • Experience in healthcare billing, Medicaid processes, or long-term care business office operations.
  • Strong organizational, follow-up, and time-management skills.
  • Excellent communication and customer service abilities.
  • Proficiency with Microsoft Office (Excel, Word) and facility billing/EHR software.

Nice To Haves

  • Associate's or bachelor’s degree in Accounting, Business, Healthcare Administration, or related field.
  • Prior experience in a skilled nursing facility business office.
  • PointClickCare Experience is a plus
  • Working knowledge of Ohio Medicaid, ODM systems, MCO policies, and Level of Care (LOC) verification processes.

Responsibilities

  • Serve as the facility’s primary point of contact for Medicaid applicants, residents, families, and representatives.
  • Assist residents and families throughout the Medicaid application process, including gathering documentation, completing applications, and monitoring eligibility status.
  • Track and manage all Medicaid pending cases to ensure timely approval and prevent revenue loss.
  • Maintain detailed logs, correspondence, and follow-up tasks related to Medicaid applications, redeterminations, and level-of-care documentation (PAS/RR).
  • Ensure proper completion and submission of necessary forms, including 9401s, verification requests, and spend-down documentation.
  • Support admissions team in verifying coverage, calculating patient liability, and explaining payer sources to residents/families.
  • Assist the Business Office Manager with daily billing, collections, and financial management tasks.
  • Process and post payments, adjustments, and reconciliations accurately.
  • Support month-end close, census reconciliation, and accounts receivable reporting.
  • Prepare resident statements, review balances, and conduct follow-up to resolve outstanding accounts.
  • Assist with private pay billing, trust accounts, payment plans, and financial counseling.
  • Provide professional, compassionate assistance to residents, families, and staff.
  • Clearly communicate financial responsibilities, payer requirements, and status updates.
  • Work collaboratively with admissions, social services, clinical staff, and corporate teams to ensure accurate financial and clinical documentation.
