About The Position

The Assistant Business Manager supports the Business Manager in overseeing business operations for Campus Operations and Maintenance. This role encompasses a broad range of administrative, operational, financial, and budgetary responsibilities, including procurement, invoice processing, financial reporting, and budget management. The ideal candidate will demonstrate the ability to manage multiple priorities in a fast-paced, deadline driven environment, possess strong analytical and organizational skills, and exhibit excellent attention to detail.

Requirements

  • Bachelor’s degree (foreign equivalent or higher).
  • Two (2) years of progressively responsible, full-time administrative experience, to include budget and financial management experience.
  • Experience in Microsoft Office Suite and/or Google Workspace.

  • Account reconciliation experience.
  • Prior purchasing and procurement experience.
  • Experience with accounts receivable and/or accounts payable processes.

Responsibilities

  • Assist in the review of purchase requisitions and invoice payments.
  • Work closely with Procurement, Accounts Payable, and vendors to expedite orders and approve invoices.
  • Ensure all purchases comply with procurement requirements.
  • Reconcile account balances to ensure accuracy across all departmental accounts.
  • Perform and/or assist support staff with recordkeeping and reconciliation.
  • Develop and maintain spreadsheets to ensure financial accuracy; prepare reports using various reporting and analysis tools.
  • Identify, track, report, and resolve discrepancies promptly by coordinating with appropriate internal and external stakeholders
  • Assist in managing, planning, and coordinating accounting and budgeting activities for all program areas under Campus Operations & Maintenance, which includes a variety of funding sources.
  • Collaborate with the Business Manager on budget analysis, revenue projections, forecasting, and development of spending plans.
  • Provide daily supervision of business office support staff in accordance with State and University policies, including performance management, timekeeping, training, assigning and monitoring work, and disciplinary actions.
  • Assists in the recruitment, hiring, and training of new Business Office staff.
  • Monitor and recharge departmental expenses, including but not limited to overtime and maintenance costs.
  • Coordinate departmental projects and operational initiatives.
  • Assist with internal audit of financial and business practices.
  • Other duties or projects as assigned as appropriate to rank and departmental mission.
