About The Position

This position provides high-level administrative and technical support to Inpatient Services and physician teams who operate 24/7 , including direct support for the Trauma Medical Director . The role requires strong independent judgment, advanced technical skills, and the ability to manage complex workflows across multiple stakeholders in a fast‑paced healthcare environment.

Requirements

  • High School Diploma or GED required
  • 4–6 years of relevant administrative experience , preferably in healthcare or a complex organizational setting
  • Demonstrated experience supporting senior leaders and managing sensitive information
  • Advanced proficiency in Word, Excel, and PowerPoint
  • Strong written and verbal communication skills
  • Highly organized, self-directed, and resourceful
  • Able to work independently while supporting fast-paced, high-acuity environments
  • Empathetic, professional, and collaborative
  • Comfortable shadowing others and assisting with training
  • Advanced Microsoft Office skills , especially Excel : Formulas Pivot tables Spreadsheet creation and analysis
  • For clinical-support focused responsibilities: Proficiency with EMR systems Knowledge of medical terminology

  • Experience working in a matrix organization and complex environments is a plus

Responsibilities

  • Provide advanced administrative support to departmental leaders and clinical teams with minimal supervision
  • Manage and coordinate complex workflows, tracking, and reporting across internal and external stakeholders
  • Serve as a liaison between leadership, physicians, staff, and external partners to ensure timely communication and follow‑up
  • Prepare high-quality presentations, reports, spreadsheets, and correspondence
  • Mentor and support junior and intermediate administrative staff, including onboarding and training
  • Assist with clinical care coordination, including: Appointment scheduling Documentation support Communication with patients and care teams
  • Support clinical workflows by ensuring accurate and timely administrative contributions to patient care operations
  • Participate in workflow optimization initiatives and collaborate with leadership to improve efficiency
  • Handle sensitive and confidential information with professionalism and discretion
