About The Position

Performs highly responsible specialized administrative and technical work requiring planning and coordination of Public Works Department information system and data/records management activities related to project management, while assuring compliance with organization directives, regulations, and respective business plans; conducts research and data entry into organizational databases; assists with project administrative tasks.

Requirements

  • Experience: Analysis and management of information systems and operational business requirements in an organization, department, or major subordinate organization.
  • Degree: Management information systems, information technology, business administration/analytics, public administration, or related field.
  • At least 4 years’ experience as described above.
  • Associate’s degree and at least 2 years’ experience as described above.
  • Bachelor’s or higher-level degree and some experience as described above.
  • An equivalent combination of training and experience.
  • Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
  • Knowledge of agency or department operations and subject matter area of assignment.
  • Knowledge of office automation and word processing software.
  • Knowledge of data research and analysis techniques, methods, and processes.
  • Knowledge and ability to troubleshoot and resolve business problems.
  • Skill in verbal and written communication, and interpretation of instructions or information.
  • Ability to apply computer applications and software.
  • Ability to develop and update procedure and operational manuals.
  • Excellent organizational skills, including scheduling, tracking, and documentation
  • Ability to utilize specialized software, such as GIS and SharePoint, to conduct project data entry.
  • Ability to perform technical computations and analyses, generate reports, sort and categorize data, and produce reports using multiple software applications
  • Ability to establish and maintain effective working relationships with superiors, employees, and others.
  • Ability to create and maintain detailed records, including taking meeting minutes.

Responsibilities

  • Produce reports for staff and management using a variety of software applications such as Arc GIS, Cityworks, or Excel.
  • Map approved projects in GIS and conduct ongoing map updates.
  • Provide project management information system (PMIS) data entry assistance.
  • Assist project managers with project background research.
  • Coordinate with Project Management Office (PMO) team to help ensure project schedules and status reports are updated.
  • Assist with project closeout procedures, including asset onboarding/decommissioning into GIS/CityWorks and records management.
  • Assist with Flood Resiliency Tool (FRT) and Sea Level Impact Projection (SLIP) Tool reports/submittals.
  • Help with project management tracking and documentation, such as routing consultant performance reviews through the Adobe sign process, tracking their completion, and filing the signed versions.
  • Assist with project administrative tasks, such as scheduling project meetings and taking meeting minutes, when needed
  • Help with Purchase Order (PO)/annual replacement PO requests, as needed.
  • Coordinate with the GIS team to publish and maintain map services, such as the flood vulnerability assessment data/viewer.
  • Help with data reconciliation between Project Management Information System (PMIS) and the Power BI dashboards or other reports.
  • Assist with updates to Project Management (PM) resources and tools, including PMIS, PM Hub, PM Handbook, PM Resource Library, etc.
  • Solicit “lessons learned” through facilitating project retrospective meetings and documents the results
  • May lead teams and provide leadership on specific assignments.
  • May perform a wide range of associated and related work with coordination or special projects, such as: analysis, report preparation, program planning, research, change initiatives, and group presentations.
  • Perform other related duties as assigned.
