About The Position

The Asset Coordinator supports VoltaGrid's Asset Management team by managing and coordinating all aspects of the organization's assets throughout their lifecycle. This includes tracking, documentation, compliance, and communication across multiple departments. This role ensures that assets are properly registered, maintained, and accounted for - helping VoltaGrid operate efficiently, stay compliant with regulatory requirements, and maintain accurate records across the fleet and facility networks

Requirements

  • Bachelor's degree in Business Administration, Supply Chain Management, or related field; equivalent experience accepted.
  • 2-4 years of experience in asset coordination, inventory control, or administrative support within an operations or logistics environment.
  • Working knowledge of asset tracking software and basic understanding of GPS systems.
  • Proficiency in Microsoft Office Suite, especially Excel, Outlook, and PowerPoint.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail, organizational skills, and follow-through.
  • Ability to handle confidential data and maintain accurate documentation.
  • Team player mentality with a willingness to assist across departments.
  • Comfortable working both independently and collaboratively in a fast-paced, dynamic environment.
  • Valid driver's license and ability to lift up to 25 lbs.
  • Occasional travel to field or vendor sites

Nice To Haves

  • Experience working in the energy, logistics, or manufacturing sectors
  • Familiarity with DOT compliance processes or fleet asset tracking
  • Exposure to Lean or process improvement methodologies.

Responsibilities

  • Assign and track GPS to new assets and ensure installations are correctly completed.
  • Maintain and update asset tracking systems, including serial numbers, GPS data, and asset records.
  • Prepare and file documentation such as invoices, titles, and purchase approvals; ensure all records are complete and accurate.
  • Coordinate with vendors and manufacturers to confirm orders, approvals, and documentation for new and existing assets.
  • Support inventory management for company fleets and facilities, maintaining current asset counts and tracking status changes.
  • Provide the Compliance team with all necessary documentation including title registration, tax receipts, and other regulatory documents.
  • Collaborate with Accounts Payable and Procurement to process invoices, vendor setups, and purchase orders.
  • Submit weekly reporting to Compliance for newly acquired assets for insurance purposes.
  • Prepare monthly reports on asset activity, inventory, and performance metrics.
  • Support the Program Manager and Lead Production Coordinator with updates, reports, and documentation reviews.
  • Contribute to process improvement efforts by identifying inefficiencies and recommending updates to asset tracking or documentation procedures.
  • Participate in team meetings and provide feedback on asset-related projects and priorities.
  • Perform general administrative support duties, including spreadsheets, report generation, and file management.
