About The Position

The Archivist is responsible for digitization initiatives to establish, preserve, and maintain the Tribe’s historically significant collections of documents, photographs, recordings, and publications. This position will be responsible for developing the Tribe’s digital archival of assets, establishing new digital preservation workflows, and maintaining best practices under the supervision of the Tribal Administrator Executive Assistant. The Archivist will manage digitalization projects' research, project management, and production aspects, including digitalization, post-processing, quality assurance, and digital asset management for the Tribe’s archives.

Requirements

  • Strong understanding and sensitivity to American Indian/Alaska Native (AI/AN) Tribal culture and lifestyle, working effectively with AI/AN populations.
  • Effective oral and written communication skills with sensitivity to the lifestyles of targeted participants.
  • Skills in operating personal computers using a variety of computer software.
  • Ability to establish and maintain cooperative working relationships with management, coworkers, and outside contacts.
  • Ability to maintain strict confidentiality and comply with all applicable federal and tribal privacy laws and KIC policy (HIPAA, HITECH, etc.).
  • Ability to learn and apply program/agency operating policies and procedures.
  • Ability to manage multiple priorities and tasks concurrently and meet deadlines.
  • Ability to work independently as well as with teams.
  • Knowledge of digital formats and video formats.
  • Detail-oriented with strong attention to accuracy.
  • Strong organizational and project management skills.
  • Must possess analytical and research abilities to determine which records are worthy of preservation.
  • Strong familiarity with digital asset collection assessment.
  • High School Diploma or equivalent.
  • One (1) years of related experience with progressive responsibility working with digitized and born-digital archival materials;
  • Experience with developing and implementing programs, policies and procedures;
  • On a year-for-year basis, a combination of relevant experience, education, and training may substitute for education and experience requirements.
  • Proof of valid driver's license with acceptable driving record.

Nice To Haves

  • Bachelor's Degree in Library & Information Science or an equivalent/related field;
  • Two (2) year of related experience in progressive responsibility working with digitized and born-digital archival materials;
  • Experience in community clinic preferred and a solid commitment to multi-disciplinary teamwork.

Responsibilities

  • Collect, organize, and describe archival collections and prepare material for large-scale digitization;
  • Coordinate work-flow processes for digitization projects involving original materials such as photographs, film, audio recordings, or other kinds of original materials;
  • Develop and document internal operating policies and procedures as approved;
  • Capture, create, and edit descriptive, technical, administrative, and preservation metadata;
  • Ensure all cataloged content meets standard style, grammar, and titling requirements. Re-name all files to adhere to ISO standards for dates (e.g., YYYY-MM-DD);
  • Develop and maintain a database matrix to capture file name schema and metadata and track delivery dates. Maintain day-to-day records of digital preservation projects and maintenance;
  • Propose and implement approved hierarchical storage management procedures and policies;
  • Assist in file re-organization of physical tapes and other assets;
  • Preserve materials in a digital format for long-term storage and preservation;
  • Write descriptions of the preserved records;
  • Identify and maintain records retention area;
  • Examine and evaluate existing and new methods for using, protecting, and disposing of records;
  • Conferring with supervisory personnel, detect problems and system improvements;
  • Schedule transfer of action records to inactive or archival storage
  • Reduce paper records to micrographic form;
  • Maintain professional and technical knowledge by attending trainings, following state and federal laws, and maintaining confidentiality laws and policies;
  • Other duties as assigned.
