The Aquatics Program Coordinator is responsible for the coordination, administration, and daily oversight of aquatic and related programs. This position supports the safe and effective delivery of programs such as swim lessons, water fitness classes, and team activities while ensuring compliance with safety standards, certifications, and organizational policies. Working under the supervision of the Assistant Aquatics Director, the Aquatics Program Coordinator serves as a key operational and administrative resource. The role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced aquatic environment. The coordinator provides on-deck supervision as needed, supports staff and participants, manages registrations and records, and ensures program continuity in the absence of director-level staff.

Requirements

  • Minimum age of 21 years (exceptionally qualified candidates 18+ will be considered).
  • High school diploma or GED required.
  • Minimum of two (2) years of experience as a head lifeguard or in an administrative aquatic’s role.
  • Current Lifeguard, First Aid, and CPR for the Professional Rescuer certifications required
  • Strong communication, organizational, problem-solving, and leadership skills.
  • Ability to build and maintain positive relationships with staff, students, parents, and community members.
  • Ability to work flexible hours, including evenings, weekends, and holidays.
  • Willingness to complete additional training as required
  • Ability to work effectively in a fast-paced, high-pressure environment with constant mobility.

Nice To Haves

  • Water Safety Instructor/WSI highly preferred.
  • Pool Operator certification preferred

Responsibilities

  • Program Operations & Safety
  • Serve as a lifeguard and/or WSI as needed and support the lifeguard team to ensure safe and effective coverage.
  • Implement, and monitor aquatics programs (e.g., swim lessons, water aerobics) to ensure high-quality standards.
  • Act as manager on deck during swim lessons or other times when a supervisor is not available
  • Enforce safety protocols and compliance standards; ensure all staff certifications remain current.
  • Manage inventory related to aquatics programs, lifeguards, and emergency preparedness.
  • Staff Oversight & Certification
  • Maintain and track staff certifications (CPR, CPO, Lifeguarding, WSI).
  • Ensure all coaches' certifications are met and maintained
  • Support team recruitment, scheduling, and administrative coordination.
  • Administration & Registration
  • Ensure accurate and timely completion and submission of all paperwork and forms, including:
  • Submission of course records to certifying agencies and maintaining an electronic backup of all such documentation.
  • Submission of all registration documentation to the appropriate office for payment processing and data entry.
  • Submission of class/course information for inclusion in marketing materials and for purposes of establishing registration
  • Manage registrations, track participation data, and maintain online calendars.
  • During the summer season, responsibilities include answering hotline/emails for lessons, registering kids for group lessons, and inputting information into Swimgen, including swim reports.
  • Submit all expense documentation and requests for reimbursement in a timely manner
  • Team & Meet Administration
  • Oversee all team administrative responsibilities, including but not limited to team administration, team billing, team recruitment, meet management, team communication, and scheduling
  • Ensure meet entries are completed accurately and entered into the appropriate systems on time
  • Help coordinate volunteers to serve as Officials, Timers, Clerks of Course, Ribbon writers etc.
  • Attend swim meets to support the entire program (when possible)
  • Customer Service & Support
  • Provide excellent customer service and serve as the primary contact for aquatics-related concerns in the absence of director-level staff.
  • Respond to patron inquiries, concerns, and complaints, resolving issues or escalating as appropriate.
  • Support special events and departmental activities as assigned.
  • Other duties as assigned by the Assistant Aquatics Director
