About The Position

The Appointment Scheduler plays a key role in ensuring smooth patient access to care for our ENT and Allergy practices. This position is responsible for scheduling, coordinating, and confirming patient appointments while providing exceptional customer service. The ideal candidate is detail-oriented, professional, compassionate, and comfortable handling high call volumes in a fast-paced specialty practice.

Requirements

  • High school diploma or equivalent (required)
  • Previous experience in medical scheduling, call center, or healthcare setting (preferred)
  • Experience in ENT, Allergy, or specialty practices (a plus)
  • Familiarity with EMR systems and medical terminology
  • Strong verbal communication and customer service skills
  • Ability to multitask and manage high call volumes
  • Excellent phone etiquette and communication skills
  • Strong organizational and time-management abilities
  • Detail-oriented with a high level of accuracy
  • Compassionate and patient-focused approach
  • Reliable, punctual, and team-oriented

Nice To Haves

  • Bilingual skills are a plus (Spanish preferred, if applicable)

Responsibilities

  • Schedule, confirm, and reschedule appointments for ENT and Allergy providers
  • Manage provider schedules efficiently to maximize clinic flow and access
  • Provide patients with clear instructions regarding appointments, testing, and preparation
  • Coordinate referrals, follow-up visits, and diagnostic appointments as needed
  • Answer incoming calls in a professional and courteous manner
  • Address patient questions regarding appointment availability, locations, and services
  • Make outbound calls for appointment reminders, follow-ups, and scheduling assistance
  • Escalate urgent or complex issues appropriately
  • Accurately enter and update patient information in the EMR system
  • Maintain appointment accuracy and documentation
  • Ensure HIPAA compliance and patient confidentiality at all times
  • Communicate effectively with front desk, clinical staff, and providers
  • Verify basic insurance information as needed for scheduling
  • Ensure referrals and authorizations are in place prior to appointments
  • Identify and flag missing documentation
