About The Position

D-Patrick Motoplex is seeking a customer-focused Appointment Coordinator to support our Service Department. This role is essential to delivering an exceptional service experience by managing inbound and outbound customer calls, scheduling service appointments, and following up on recommended maintenance and repairs. The ideal candidate is organized, professional, and enjoys working in a fast-paced dealership environment while building long-term customer relationships.

Requirements

  • Previous automotive dealership or service department experience preferred (not required)
  • Excellent verbal and written communication skills
  • Strong customer service and phone skills
  • Basic computer skills; experience with DMS or CRM systems a plus
  • Ability to multitask and work independently
  • Strong attention to detail and organizational skills
  • Professional appearance and positive attitude
  • Basic math and data entry skills

Responsibilities

  • Make outbound calls to customers regarding:
  • Missed or upcoming service appointments
  • Follow-up maintenance and repair recommendations
  • Special-order parts arrivals
  • Answer incoming service department phone calls promptly and professionally
  • Schedule service appointments based on technician availability and shop capacity
  • Review customer service history, including:
  • Declined services
  • Manufacturer-recommended maintenance
  • Prepaid maintenance plans or service contracts
  • Check for open manufacturer recalls, service campaigns, and warranty eligibility when scheduling appointments
  • Track scheduled appointments and follow up on no-shows or rescheduled visits
  • Assist in maintaining strong customer relationships and retention
  • Communicate customer feedback or concerns to management
  • Maintain punctuality and reliable attendance
  • Perform additional duties as assigned
