About The Position

We're looking for a dedicated Analyst Capacity Management to join our team and help us continue delivering the level of care our patients and families deserve. In this role, the Analyst Capacity Management is responsible for building, modifying, and analyzing schedule templates for providers and ambulatory services. The Analyst serves as a strategic advisor to ambulatory leadership, making recommendations that support access and capacity management goals. Through configuration of scheduling tools and data driven capacity planning, the Analyst helps ensure optimal utilization of resources, and improved access to care.

Requirements

  • BA/BS Degree or equivalent work experience in analyst or template builder role.

Nice To Haves

  • Experience with analytics using Microsoft Excel strongly preferred.
  • Experience with EPIC Cadence Schedule Templates strongly preferred.
  • Experience with EPIC reporting tools strongly preferred.

Responsibilities

  • EPIC Template/Scheduling Tool Build: Creates and maintains multiple provider and ancillary schedule templates across multiple specialties, while independently coordinating with clinical departmental leadership and Patient Engagement Center leadership. Designs schedule templates to meet contractual expectations, volume targets, and access to care goals. Applies expert understanding of scheduling tools (including but, not limited to: questionnaires, scheduling decision trees, subgroups, visit type modifiers, session limits, auto-search, visit types restrictions, and blocks) to drive capacity outcomes. Efficiently responds to change requests to maintain efficient and accurate scheduling. Ensures scheduling tools are updated accurately and timely. Submits and tracks tickets/enhancement requests with EPIC IT teams. Collaborates with IT to prioritize and resolve tickets in a timely manner.
  • Analytics: Analyzes key access metrics including, but not limited to: schedule utilization, provider utilization, no show rate, late cancelation rate, third next available appointment, new patient lead times, work queue throughput, contractual vs actual patient care hours, budgeted vs actual volumes, referral retention, bump rate, etc. Performs quality assurance checks on provider schedules. Identifies template, scheduling and/or capacity issues and trends, and recommends resolutions. Ensures alignment with standards. Develops and delivers ad-hoc data analysis as requested by departments, providers, and leadership. Proactively monitors and escalates issues affecting template integrity, scheduling workflows, or capacity management.
  • Capacity Management Advisor: Develops and presents data analysis, insights, and formal recommendations in a clear and actionable format for operational leaders. Delivers presentations to various stakeholders, including large forums. Tracks completion of capacity related action plans, and audits for sustained impact.
  • Other: Supports maintenance of Patient Engagement Center scheduling decision support tools and knowledge management resources as needed. Performs other duties as assigned.
  • Additional Responsibilities: Understands and upholds organizational standards, policies, and procedures. Responds promptly and thoroughly to customer needs in alignment with established Service Level Agreements (SLAs). Enhances the reputation of the Patient Engagement Center by taking ownership and demonstrating personal responsibility for exceeding service expectations. Sets a positive example to peers, coworkers, departments and patients. Builds and manages customer relationships with departments and providers. Follows issues through to closure. Works cooperatively in a team-based environment and actively supports organizational change to advance the success of the medical group and Patient Engagement Center. Promotes a positive and productive workplace culture by encouraging open communication, mutual support, and shared goals.
