About The Position

Responsible for the coordination and management of department staff, office procedures, including registration and screening of patients, maintenance of patient and computer files, etc. Department size of 3 or more physicians on duty at any one time/staff sizes of 10 or more persons.

Requirements

  • Associate's Degree (Required)
  • 3 Years - Proven physician office management
  • Applicable experience may be substituted for degree at manager's discretion.
  • No Certification, Competency or License Required

Responsibilities

  • Effectively manage patient flow.
  • Maintain knowledge of all subordinates' processes in order to provide assistance or maintain efficiency of department as needed.
  • Processes to include registration of patients, proper procedures for telephone calls/messages, insurance verifications, scheduling of appointments and other duties.
  • Coordinate daily operation of deparrtment to include ordering supplies, forms, etc.
  • Responsible for monitoring performance, communicating results, and ensuring compliance with budget.
  • Promote and manage revenue enhancement and cost reduction in the managed practice.
  • Responsible for analyzing productivity and patient flow, identifying system barriers, and making corrections to achieve maximum productivity.
  • Participate in establishing policies and procedures for the department. Develop procedures and controls to promote communication and information flow (goals, financials, etc.).
  • Ensure compliance with applicable federal, state, & local laws.
  • Select, interview, hire, evaluate, counsel, discipline, & discharge employees.
  • Serve as liaison between physicians & Medical Management Services to address customer service issues.
  • Monitor patient satisfaction of the department and develop plans to improve satisfaction.
  • Provide payment arrangements when applicable for all accounts.
  • Responsible for first line of communications between management and physicians. Act as a liaison between Ambulatory Department Directors and physicians.
  • Act as working supervisor in appropriately sized departments.
  • Responsible for scheduling all staff, maintaining time for staff and physicians and maintaining administrative and personnel files.
  • Responsible for daily and monthly computer processing.
  • Coordinate the performance management process with the Ambulatory Department Director/Exec Director to include writing planners, assisting in giving mid-year and annual reviews, and providing feedback to employees between review periods.
  • Act as a mentor to the Department Staff to provide assistance in training, communications, procedures, etc.
  • Assist the Ambulatory Department Director/Executive Director at other offsite departments as needed.
