About The Position

Alumni Engagement Student Associates (“Student Associates”) are responsible for providing support for all programs of the Montana State University Alumni Foundation (“Alumni Foundation”) Engagement team including but not limited to, chapters, reunions, volunteers, watch parties, team events and other priority efforts. Event preparation and planning experience or aspiration is a plus. Student Associates work closely and collaboratively with Engagement staff to provide excellent customer service, implement and execute value-added and efficient engagement of alumni and friends in relation to organizational priorities and overall professional support. During the school year, the student in this position should work 10-15 hours per week, with the potential to work additional hours during academic calendar breaks and/or in the summer.

Requirements

  • Excellent telephone manners, strong communication and interpersonal skills, including the ability to respond professionally and in a timely manner to inquiries and the many constituents calling and emailing with varied questions and needs.
  • Complete respect for confidentiality.
  • Willingness to take initiative and be self-motivated, solve-problems and have strong organizational skills.
  • Working knowledge and experience with computers and program platforms (i.e. Microsoft Office).
  • Keen attention to detail and accuracy.
  • Ability to demonstrate courtesy and engagement while working.
  • Ability to manage and balance schoolwork and job hours.
  • Ability to adhere to policies and follow directions.
  • High level of personal responsibility, reliability and accountability.
  • Ability to be flexible in daily responsibilities.
  • Ability to work as a team player, with student peers and a variety of professional staff.
  • Must be a current MSU student (with preference given to Freshman or Sophomore status.

Nice To Haves

  • Prior experience not required; administrative experience and program/event support preferred
  • Freshman or Sophomore-status preferred
  • Event preparation and planning experience or aspiration is a plus.

Responsibilities

  • Provide excellent customer service in answering the Engagement telephone line(s), answering emails from constituents, and taking and recording RSVPs for events.
  • Assist with the preparation for and execution of events, including but not limited to tracking RSVPs, calling and/or emailing potential attendees, preparing décor and graphics, event packing, set-up, check-in, live management, take-down, and unpacking.
  • Support database integrity through constituent updates, user-coding, event-coding, record-keeping and reporting.
  • Assist with inventory tracking and procedures.
  • Assist with office organization and management.
  • Affect and maintain a professional, proactive, positive, highly collaborative, and performance-centric work environment.
  • Perform other duties as assigned by Alumni Foundation Engagement team professional staff.
