Job Title: Alumnae Relations & Development (AR&D) Team Support Specialist Classification: Hourly, Non-exempt Reports to: Sweet Briar Fund Associate Job Summary: Provide department-wide assistance to support fundraising and alumnae engagement on and off campus, with a focus on supporting the Sweet Briar Fund and other fundraising initiatives. Position Type/Expected Work Hours: Full time, Monday through Friday 8:30 am to 5:00 pm with flexibility for events or special projects on occasional evenings/weekends as needed.

  • Detail-oriented, strong work ethic and positive attitude
  • Must possess excellent customer service skills on the phone and in person
  • Strong written and verbal communication skills with attention to detail
  • Excellent time management, interpersonal skills, and customer service abilities
  • Able to maintain confidentiality with written and verbal communications with high degree of trustworthiness, discretion and professional judgment
  • Competently interact with a culturally and ethnically diverse population of visitors, alumnae, students, parents, faculty and staff

  • Two years in alumnae/alumni relations, constituent relations, or related field
  • Two years or more of relevant institutional experience
  • Proficient in MS Word, Excel, PowerPoint and Google platforms and be able to work independently to merge documents, create labels and sort documents and spreadsheets.

Responsibilities

  • Work actively with the AR&D staff members and constituent groups, including faculty and staff.
  • Manage calendars, action items, and follow-ups for the Sweet Briar Fund, other fundraising and planned giving assignments.
  • Collaborate with AR&D staff to create and implement proposals, update mailings,invitations, and other donor correspondence.
  • Provide administrative support for the stewardship of foundations, corporations, and government agencies.
  • Clerical duties include answering phones for the AR&D department, logging all calls, reporting, purchasing, and correspondence.
  • Reconcile and ensure accuracy of outside vendor billing, process expense reports and purchasing cards statements.
  • Assist AR&D team members to ensure increased alumnae engagement.
  • Coordinate phone coverage with staff members.
  • Work cooperatively with other campus departments.
  • Maintain the appearance of lobby and conference areas for visitors and staff.
