About The Position

Toyota’s Denver Regions Demand & Supply Department is seeking a passionate and highly motivated Allocation Administrator. This role is crucial for managing the allocation and logistics of wholesale vehicles, ensuring seamless coordination among dealerships, transportation, and internal teams. The Allocation Administrator will report to the Demand & Supply Manager and will contribute to the department’s objective of optimizing vehicle distribution and enhancing dealer satisfaction through precise, timely, and efficient processes.

Requirements

  • High School Diploma or higher
  • Excellent organizational skills, with a high attention to details, and ability to execute on specific deadlines
  • Proven experience in office management or administrative leadership role
  • Strong Microsoft skills within but not limited to: Teams, Excel, Outlook, Word, and PowerPoint
  • Demonstrated ability to effectively multi-task across diverse projects while proactively anticipating challenges and implementing timely solutions
  • Strong knowledge of supporting departments and organizations with operations policies and procedures

Nice To Haves

  • Experience in automotive, logistics, or supply chain support roles where you’ve demonstrated attention to detail and problem-solving skills
  • Advanced knowledge of Sarbanes-Oxley (SOX) compliance and record-keeping best practices
  • Tableau and/or Power BI Experience

Responsibilities

  • Managing dealer relationships and addressing vehicle issues
  • Overseeing allocation and inventory processes
  • Coordinating vehicle needs for events, auto shows, and demos
  • Facilitating dealer trades, buy/sell transactions, and special orders
  • Supporting the team with tasks such as Monroney reprints and port mod holds
  • Coordinating bi-monthly allocation worksheets and updating reports with accuracy and attention to detail
  • Handling dealer calls regarding missing/late vehicles, damage, and complex trade or replacement scenarios
  • Pulling and monitoring event vehicles, auto show vehicles, and demos, managing logistics across various stakeholders
  • Addressing hard-to-find vehicle needs and coordinating transactions with multiple parties for special orders and buy/sell transactions
  • Balancing primary duties while providing backup support for the team
