Are you ready to take the next step?  Agreement Coordinator, Energy Business   Role Overview: Wärtsilä Energy's Engine Power Plant Lifecycle Management team is seeking an Agreement Coordinator to deliver existing and new agreements while helping to drive business growth in the United States. Reporting to the Country Agreement Manager for the Energy Business and primarily based in Houston (though other locations may be considered), this hybrid role involves regular travel to customer sites and Wärtsilä offices. Accountabilities: To extend total support to Agreement Managers and Plant Managers Installation on all Contract Deliverables. Accountable for accuracy of tasks delegated by Country Agreement manager and Agreement Manager with respect to quality and timeliness Review and initiate monthly O&M invoices with effective coordination with AM / Power Plant Managers, site personnel, Customer Organization every month and other invoices as needed. Monitor Account Receivables for each Agreement and highlight Overdue status to Agreement Manager to take necessary actions against overdue payments. Review monthly cost bookings (by end of each month) with Finance controller and Agreement Managers to ensure correct cost booking under WBS elements with minimum deviations compared to cost estimates in Estimo. Maintain updated database for site inventory on monthly basis and ensure on time update of spares consumption in SAP after resolving any deviation between actual site inventory and SAP records. Secure that: spare parts, exchange parts, Field Service resources and required maintenance tools, parts, cabins, permits, travel for maintenance tasks in coordination with FS Coordinator are at installation as per maintenance plan.

Responsibilities

  • Support the Agreement Manager in implementing Agreement Management activities in logistics and administrative activities as per Wartsila internal guidelines during Mobilisation and Operations phase.
  • Monitor that the maintenance tasks are executed within the targeted time in coordination with Maint.Planner and Maint.Expert ,
  • Act as a Responsible Coordinator for AMEO in the Country /Region.
  • Creates spare parts sales order/ quotation.
  • Ensures the correct WBS element is used as informed by Agreement Manager.
  • Required Delivery Date.
  • Order follow-up and updating any additional spare part requirements.
  • Support Agreement Manager to reach set quality, financial, cost, safety and time targets.
  • Maintain good internal and external stakeholder relationships.
  • Expert level usage of tools like SAP/ WE BUY/ Maximo
  • Follow up with Agreement manager to maintain up to date KPI and Account plan status and participate in Account Team meetings.
  • To co-ordinate tasks and actions with site teams as instructed by Country / Agreement Manager
  • To report specific assigned tasks progress to Agreement Manager
  • To act as a Facilitator in highlighting local issues / risks / administrative tasks / local rules by supporting the team in proposing solutions.
  • Support Agreement manager to create a demobilisation plan and support in demobilisation activitiesDevelopment responsibilitiesContinuous strive for Agreement profitability by taking necessary actions within the preview.
  • Understanding updating self as per local / regional / Global logistics management.
  • To give feedback regarding standard and contract specific solutions to respective responsible parties.
  • To highlight local rules / needs supporting the team to avoid difficulties locally.
  • Local logistics procurement and documentation as required to process.
  • As assigned by Country Contract Manager / Contract Manager
  • As per NWC local rules in respective company and local regulations where he/she is based.
  • Preparation of Invoices as per Agreement
