About The Position

Job Summary: The AEC/Compliance Coordinator supports real estate due diligence projects by researching, tracking, and documenting permitting, approvals, and regulatory compliance requirements. This role works with internal teams and municipal agencies to collect zoning, building, fire, and compliance information, prepare Permits & Approvals (P&A) reports, perform area calculations, and maintain organized project documentation. Responsibilities shift between AEC and Compliance functions based on project needs and timelines, requiring strong attention to detail, organization, and the ability to manage multiple projects simultaneously.

Requirements

  • High school diploma required
  • Proficiency in Microsoft Office Suite and Adobe strongly preferred
  • Excellent verbal and written communication skills
  • Strong attention to detail with the ability to manage multiple projects simultaneously
  • Ability to display strong organizational skills, conceptual thinking, and problem-solving skills
  • Ability to work effectively both independently and as part of a team

Responsibilities

  • Work alongside the Compliance Coordinator to ensure all project needs are met in a timely manner
  • Research and obtain building, zoning, fire, and environmental compliance information from appropriate municipal jurisdictions
  • Confirm the correct jurisdictional authority for each project and submit public records and/or information requests as a company representative
  • Obtain zoning verification and related regulatory confirmations from local officials
  • Track and document the status of compliance requests in internal systems, including accurate notes and municipal contact information
  • Follow up on outstanding or delayed requests in a timely manner to support project timelines and maintain high completion rates
  • Organize and maintain electronic compliance documentation within project files
  • Communicate potential delays, data gaps, or issues to internal leadership to minimize project impacts
  • Research permitting requirements, approvals, inspections, and certifications associated with property development or existing conditions
  • Prepare Permits & Approvals (P&A) reports and support documentation using municipal research and project information
  • Perform area take-offs and calculations, and coordinate findings with Project Managers and AEC staff
  • Log, track, and maintain construction documents and technical project files.
  • Conduct light completeness reviews of submitted documents and communicate questions or concerns to the AEC team
  • Coordinate internally to ensure accurate documentation and timely project deliverables
