About The Position

USF Advancement is on a trajectory of growth and transformation. We are seeking a high-energy, strategic Advancement Project Manager to serve as the driving force behind our most critical people and technology initiatives. This highly visible change agent will lead programs that shape our culture and accelerate organizational effectiveness. Reporting directly to the Associate Vice President of Talent Management and the Senior Associate Vice President of Data & Innovation, the incumbent will bridge the gap between strategy and execution by activating strategic workgroups (e.g., STIR, URISERS) and creating collaborative structures across the division (e.g., Collaboration Café, Division-Wide meetings). This position will manage the non-technical implementation of high-impact projects that enhance organizational effectiveness and the overall people experience. This role will also ensure key administrative functions are executed with excellence for leaders within TM, TISS, and ACM.

Requirements

  • This position requires a Bachelor’s degree in a related field and 2 years of project management or coordination experience
  • Some positions may require project management certification.
  • Four years of direct experience for a bachelor’s degree.

Responsibilities

  • Talent Management Support Talent Management programming while identifying workflow bottlenecks and implementing solutions that improve efficiency and team effectiveness.
  • Direct rewards and recognition programs (URISE, The Socie7y) and, in partnership with the Advancement Events team, lead staff-engagement and collaboration-enabling events (Collaboration Café, Collaboration Summit, Division-Wide Meetings, Staff Celebrations and Events).
  • Support the URISERS cultural ambassador group by managing the application process, hosting quarterly meetings and empowering committee heads while ensuring a strong experience for each URISER, and enabling meaningful cultural improvements driven by their work.
  • Serve as a strategic member of the Talent Management team to continuously improve programs that support recruitment, engagement, retention, and performance across USF Advancement.
  • Collaborate with, coach, and inspire leaders to adopt talent management best practices and contribute to building a highly engaged workforce.
  • Technology, Innovation and Strategic Solutions Project Coordination Support Seamlessly move projects forward enabling TISS directors and technical staff to focus on strategy, design, and delivery.
  • Coordinate project activities (meetings, workshops, deadlines, and stakeholder engagement) for initiatives like the credit card/expense system review, CRM workflow updates, and other processes supporting enterprise-wide improvements.
  • Create simple project tools (MoSCoW charts, requirement summaries, decision logs, basic timelines, checklists) and facilitate project meetings (including agendas, notes, decisions, risks, and follow-up actions).
  • Manage vendor coordination, including demos, materials, and evaluator feedback.
  • Provide clear, concise status updates and maintain organized, accessible project documentation in Teams/SharePoint.
  • Strategic Technology Intake and Review (STIR) Workgroup Support Support the STIR program which is designed for reviewing new technology initiatives that introduce new capabilities or materially change how we work.
  • Coordinate participation, ensuring the right stakeholders are included for each agenda.
  • Manage meeting logistics including calendar updates, agendas, attendee adjustments, and pre-read or summary distribution.
  • Document and track STIR decisions, owners, deadlines, and next steps, keeping the STIR tracker (Teams or Excel) up to date.
  • Communicate outcomes to requestors and maintain clean, audit-ready records so the STIR workgroup runs smoothly with organized materials, clear follow-ups, and consistent communication.
  • Administrative Support for TM, TISS and ACM Executive Leaders Manage essential day-to-day administrative functions for the TM, TISS, and ACM teams, including credit card and invoice processing and budgeting.
  • Provide executive-level support as needed, ensuring leaders can stay focused on strategy, leadership, and cross-Advancement alignment rather than administrative tasks.
  • Serve as a leading voice for the administrative team across the division and serve as the primary auditor of current administrative workflows; identify manual "pain points" and execute transition plans to migrate these tasks into automated or streamlined systems.
