About The Position

Coordinate reception area activities to promote communication throughout the Facility. Perform clerical and reception duties related to patient registration and admission. Assists with medical record maintenance, collections, insurance verification, release of information and special projects as needed. Admit patients to the Facility following established policies and procedures. Greet patients and families with a positive and welcoming attitude. Assemble patient medical record forms and prepare patient identification. Print schedules and notify appropriate personnel of missing or extra scheduled appointments. Print patient labels and face sheets. Work to put patients and families at ease during the admission process. Offer patient rights, privacy practices, patient responsibilities and advance directive materials to the patient or the authorized patient representative according to regulations and per patient request. Inquire on status of advance directives from patient and scan copies into electronic health record if provided. Request patient emails for distribution of satisfaction surveys and patient portal access Verify and update patient demographic and insurance information while registering patients. Obtain proper documentation to verify patient identity (example: driver’s license) and assure facility has current insurance card(s) on file. Provide pertinent information to the patient's family in the waiting area according to policies and procedures. Monitor waiting area. Help patients and visitors if seem to need and report any suspicious activity or complaints to supervisor(s). Coordinate reception area activities for effective communication with all areas of the Facility. Open Facility each morning. (Open doors, change phone transfers, unlock cabinets) Answer telephone and intercom courteously and in a quiet, pleasant voice. Accept and relay messages effectively; transport patients and families as needed to private conference rooms. Maintain and protect each patient's right to confidentiality. Answer patient and family member questions and refer questions to healthcare professionals when appropriate. Identify emergencies and initiate appropriate responses. Provides information to families about facility amenities (e.g., refreshments, lounges, restrooms, etc.) Assist with billing/collecting activities as needed. Collect co-payments, deductibles, and other patient responsible amounts at admission. Ensure all forms are completed and signed (e.g., Financial Agreement, Tricare, Medicare, ABN, LPW, etc.) Assist patient and or the responsible party in understanding insurance, and the billing and collection process. Obtain assistance from other business office personnel as needed. Enter demographic information during insurance verification process prior to admission as backup role if needed. Assist with the collection, processing, maintenance, storage, retrieval, and distribution of medical record information according to established policies and procedures. Clean chart covers as they return to department, making them available to utilize to build new charts for upcoming scheduled patients. Support and participate in a filing system that meets Facility requirements for medical records. Scan patient documents into electronic health record under appropriate account number and image title. Maintain the confidentiality, security, and physical safety of Facility medical records. Distribute copies of procedure notes and other results as requested to referring providers. Prepare mailing labels and update mailing addresses. Assist Director of HIM/Business Office and Office Manager as needed. Assume clerical duties and responsibilities, as necessary. Assist in ordering and stocking clerical supplies. Assist in maintaining cost effectiveness by preventing waste of supplies. Maintain order and cleanliness of the front desk. Perform interdepartmental errands when needed. Monitor the nourishment area. Stock nourishment area if facility elects to provide. Maintain cleanliness and order of the area as needed. Complete other projects and work as assigned.

Requirements

  • Effective communication skills required.
  • Requires language skills adequate for written and interpersonal communication in US English
  • Requires visual and auditory acuity adequate to monitor patient and visitor activity and for frequent use of computers and other business office equipment.
  • Ability to sit for extended periods and to perform desk and office activities

Nice To Haves

  • Two years clerical experience preferred.
  • Medical Clerical experience preferred.
