Position Summary: The Admissions Office Processing Specialist and Administration is responsible for performing all required processing functions associated with prospective student recruitment and enrollment, and ensures student file integrity and quality control. The position performs administrative departmental duties that include but not limited to front desk and institutional receptionist duties, provides assistance and supervision to college work- study students who work for admissions processing and Reception, and assist with other admissions tasks in the area of recruitment and admissions events. The AP specialist/administrator also ensures promotional materials are prepared, packed and distributed in a timely fashion.

  • Monitor the proper entry of student data into the MCNY student information system (SIS) and customer relationship management (CRM) database in an efficient and accurate and correct manner.
  • Participate in all training of Admissions Pros and Power Campus systems as needed and on an on-gong basis.
  • Assist in the training of student workers on receptionist responsibilities.
  • Assist in the training of student workers in specified processing responsibilities.
  • Participate in the evaluation of student workers when assigned to admissions.
  • Collect and process required documents from prospective students in an efficient manner and ensure that documents are carefully handled to avoid misplacement.
  • Communicate with external organizations, schools, companies, to collect documentation, especially MMRs and Official transcripts.
  • Build and Utilize queries to execute processing functions out of Admission Pros.
  • Responsible for updating admission requirements for new and existing programs in Admission Pros.
  • Determine that submitted documents, credentials, diplomas, meet admissions requirements.
  • Update daily student records with admission counselors’ admissions actions/decisions and documents received.
  • Daily communications with updates to Admission Pros CRM documents insuring daily rollover to SIS Power Campus
  • Process term changes, withdrawals, and program and plan changes within the Office of Admission
  • Ensure that student records are not duplicated by reviewing duplicate record exception reports daily.
  • Ensure the smooth synchronization of data from Admission Pros into Power Campus by daily monitoring, and adjustment of records as needed.
  • Performs regular admissions data audits to ensure data security and integrity across all systems.
  • Assist with front desk (reception) coverage by answering phones, greet visitors, schedule appointments for admissions counselors, and faculty admissions interviews and provide visitors with appropriate paperwork to facilitate visit as needed
  • Supervise and train admissions office work- study students and assign tasks for processing/reception/recruitment events.
  • Participate in on-campus and virtual events such as Open Houses, Information Sessions, and Receptions
  • Communicate with applicants concerning their application and admission decision.
  • Maintain inventory of collateral materials, informing Admissions Director when supplies are low.
  • Ability and willingness to participate in ad hoc projects that support the enrollment goals of the college.
  • Associate degree (Bachelor degree preferred)
  • At least one-year experience in data processing.
  • Must have good communication and customer service skills.
  • Must demonstrate computer literacy or the ability to quickly attain computer software knowledge.
  • Must be detail oriented, organized, and able to complete tasks as assigned in a timely manner.
  • Must be available to work scheduled evenings and weekends and on short notice when necessary.
  • Although assigned to a specific campus, must be available to work at either Campus as needed.
  • Must be Microsoft Office Suite proficient.
  • Experience with Power Campus, Slate or other student database admissions/registration systems preferred.
