About The Position

The Admissions Manager is responsible for the daily oversight, coordination, and performance of the Admissions Department, ensuring timely, accurate, and compliant processing of all incoming admissions. This role serves as the operational lead for admissions workflows and functions as a key liaison between Admissions, Intake, Revenue Cycle Management (RCM), Clinical, Medical, and Transportation teams.

Requirements

  • High School Diploma or GED required.
  • 3 or more years of progressive leadership experience overseeing behavioral health/addiction treatment admissions functions.
  • Knowledge of addictions and mental health complications.
  • Knowledge of community health resources that support life improvement in physical, emotional, mental and spiritual health, economic security, employment, positive social and family interdependence and positive cultural identity including
  • Knowledge of referral procedures and admittance criteria for health care and community providers.
  • Ability to network and collaborate with healthcare and other social and cultural agencies that can provide services to the patients and families.
  • Knowledge of the 12-Step Recovery Program.
  • Knowledge and competency in problem solving, stress management, ethics and team building.
  • Knowledge of alcohol and other drugs that includes alcohol and addictive drugs and their physical, emotional, intellectual, and spiritual impact on the individual and family.
  • Ability to determine if a medical emergency exists and to take appropriate action, when necessary.
  • Knowledge of emergency procedures used in case of alcohol and/or drug overdose.
  • Knowledge of the stages of alcohol and other drug withdrawals and ability to take appropriate action at each stage.
  • Ability to work with referral sources and community partners in a professional manner.
  • Ability to pass a pre-employment background check and drug screen required.

Nice To Haves

  • Bachelor's Degree in Healthcare Administration, Social Work, or relevant field preferred.
  • CDCA, LCDC, or LPC/LSW preferred, but not required.

Responsibilities

  • Manage and respond to all incoming treatment inquiries, including phone calls, online applications, emails, and referral sources, including social media messages and inquiries ensuring timely, professional, and compassionate engagement with prospective clients and families.
  • Manages client financial eligibility and payer responsibility for prospective clients by conducting insurance verification, benefits review, and financial screening to ensure appropriateness for admission to Team Recovery.
  • Oversee follow-up and engagement efforts with prospective clients to confirm continued readiness for treatment, including appointment confirmation and pre-admission outreach up to the day of admission.
  • Coordinate daily admissions scheduling by monitoring staff availability, bed capacity, clinical appropriateness, and medical clearance requirements.
  • Ensure appropriate referral placement for individuals who do not meet admission criteria by connecting them with suitable external treatment providers or community resources.
  • Maintain accurate and compliant admissions records, including intake inquiries, insurance determinations, scheduled admissions, denials, and referrals, in accordance with organizational policy and regulatory standards.
  • Collaborate closely with Clinical, Medical, Housing, Intake, and Revenue Cycle Management (RCM) teams to align admissions decisions with clinical needs, medical clearance, authorization requirements, and operational capacity.
  • Oversee client transportation coordination, including scheduling and communication for out-of-area and statewide admissions, ensuring timely and safe transport to treatment.
  • Build and maintain professional relationships with referral partners and community agencies, supporting consistent communication and appropriate admissions referrals.
  • Provide direct supervision, training, and daily oversight of Admissions and Transportation staff, fostering accountability, accuracy, teamwork, and effective communication.
  • Monitor admissions performance metrics and key performance indicators (KPIs), reporting data, trends, and outcomes at regularly scheduled meetings to support operational planning and continuous improvement.
  • Perform other duties as assigned, consistent with the scope and responsibilities of the Admissions leadership role.
