About The Position

High Point University is seeking a full-time Admissions Events Coordinator. The candidate will assist in managing admissions event experiences to ensure the best campus visit experience in America. This role will also support the planning and execution of graduate admissions events, including program-specific information sessions and professional recruitment experiences. The position coordinates a variety of event details such as room reservations, event rentals, and event publications. The position will be responsible for creating event supporting materials such as schedules, webpages, and diagrams; managing event gift items and monitoring inventory; keeping track of event signage and ordering signage as needed for events; working in a fast-paced environment; and assisting in managing the day-of event experience. QUALIFICATIONS: Education Bachelor’s degree required Experience and Training A minimum of two years of related experience, an equivalent combination of education and experience, or five years of work experience in a directly related capacity. Knowledge, Skills, Ability: Knowledge of the event planning process and available resources Understanding University policies and procedures Ability to engage professionally with adult learners and graduate-level prospective students Ability to organize workflow and coordinate activities Unmatched attention to detail and organizational skills Self-motivated, proactive and committed to continuous improvement Ability to prioritize projects and perform under demanding situations Strong problem-solving skills, leadership, and decision-making skills Ability to work flexible schedule including late night and weekend hours as required Effective written and oral communication skills; strong interpersonal skills Proficiency in Microsoft Office Suite, Adobe Creative Cloud Suite and ability to learn and work in CRM on a daily basis General A/V knowledge Ability to perform moderate physical work ESSENTIAL FUNCTIONS: Assists with planning and executing all admissions events Participates in planning meetings and special assignments Handles multiple projects simultaneously, managing tasks in an environment with changing dynamics (time, location, number of guests, etc.) Be “day of” event contact as needed Assists with creation of event improvements and new ideas Event publications: creating event schedules and event promotion materials Event signage: responsible for keeping inventory of event signs, creating and ordering new signs as needed, evaluating signage at events to see what can facilitate visitors Administrative duties including invoicing, billing, ordering supplies, executing vendor contracts and creating event setup diagrams Ordering event gift items; ensure enough gifts to cover events and the best products available Effectively communicates and interacts with individuals in multiple University offices to plan and coordinate events Maintains positive work atmosphere by acting and communicating effectively with faculty, staff, administrators, student workers, co-workers and managers Assist in planning and executing graduate admissions events and interview days, working in collaboration with program directors and faculty to support graduate recruitment experiences. Requirements
