About The Position

The Admissions Coordinator plays a crucial role in expanding school enrollment by leading recruitment, managing the admissions process, and engaging with prospective families, all while working closely with the leadership team to develop strategic outreach efforts and ensure a smooth, community-focused experience. This role is integral to strengthening the school's presence and fostering strong relationships with families and community partners. The Admissions Coordinator is meticulously organized, loves systems, has a gift for hospitality, and demonstrates a passion for connecting families to the mission and community of Donum Dei Classical Academy.

Requirements

  • Professional working experience in relevant field(s).

  • Be in good standing with a Christian church, which includes weekly attendance and participation as an active worshipper.

Responsibilities

  • Develop and implement a comprehensive recruitment and enrollment strategy across both the Preschool and Academy.
  • Collaborate with the Advancement Director and Communications Coordinator to promote admissions events and key deadlines.
  • Maintain and grow prospective family, church, and preschool contact lists.
  • Increase the school’s visibility in the community through outreach and public engagement.
  • Partner with churches and community connectors to share Donum Dei’s story and facilitate meaningful engagement opportunities.
  • Seek professional development and support from admissions directors at other classical schools.
  • Plan and execute Fall and Spring Info Sessions, setting attendance goals and tracking progress.
  • Secure participation from faculty, staff, and parents for each session.
  • Lead campus tours and connect prospective families with school leadership.
  • Communicate with staff and faculty regarding tours and prospective family interactions.
  • Conduct follow-ups with attendees and invite prospects to key events throughout the year.
  • Build and implement a student retention plan that includes personal touchpoints and family events.
  • Manage the admissions process through FACTS, ensuring all steps are completed accurately and on time.
  • Schedule and coordinate Visit Days, including academic intake assessments.
  • Collect and incorporate teacher and leadership feedback for student placement decisions.
  • Schedule and participate in Parent Interviews alongside academic leadership.
  • Facilitate family introductions and support new family integration into the Donum Dei community.
  • Oversee Parent Orientation and “Donut Day” for new families.
  • Track year-over-year growth rates and projections for each point in a recruitment season.
  • Maintain comprehensive student records in FACTS from application to enrollment.
  • Collaborate with the Registrar to track deadlines, financial aid applications, and tuition communications.
  • Ensure compliance with all admissions-related policies and procedures.
  • Participate in Leadership Team meetings and professional development.
  • Collaborate with school leadership to develop, evaluate, and refine admissions strategies.
  • Support the school’s presence in the community and maintain a seamless, welcoming experience for families.
